Manage all aspects of an existing portfolio of education abroad programs. Program management includes but is not limited to program and budget development and oversight, recruitment/promotions, development of web and Terra Dotta materials, student advising and admission processes, liaison with overseas institutions and vendors, orientation of students/faculty, overseas support, emergency management, program evaluation, and re-entry programming for students.

Collaborate with faculty and staff across the campus in the development of new study abroad/internship abroad programs in alignment with portfolio.

Develop content for print and online promotional materials for programs in assigned portfolio.

Strategically market programs across the campus, including classroom visits, informational meetings, presentations to targeted clubs or associations, study abroad fairs, email, social media and other electronic promotions, etc. This may include occasional evening or weekend hours.

Serve as the primary campus advisor for programs within assigned portfolio, to include supporting students through the program selection, application, acceptance and orientation processes; visa acquisition (as applicable) and travel planning; serving as principal point of contact for regular or emergent communications from students abroad; and managing the credit articulation and program evaluation processes upon return.

Advise students on relevant and applicable local, regional and national scholarships, including those specific to region or program portfolio and serve as a panel member of the SAGE scholarship selection committee each term.

Administer the Freeman Foundation Grant secured by SAGE in support of student scholarships for international engagement in Asia. Promote grant; advise students on application and post-award requirements; monitor appropriate use of funds and fund expenditures; support annual reporting process.

Assist with the planning and presentation of general orientation and re-entry sessions. Provide regional, program-specific, and topical orientation sessions for all programs in portfolio.

Advise students, faculty, staff and parents on KU administrative policies and procedures as related to study abroad.

Regularly assess education abroad program portfolio. Propose new international programs or partnerships to ensure students across academic disciplines at KU have access to discipline- relevant education abroad opportunities. Develop and maintain a dataset of non-KU programs offered in diverse locations or during terms not supported by KU programming.

Collaborate with SAGE staff to coordinate campus visits from partner organizations.

As assigned by Director, conduct international site visits with current and potential partners.

Inbound Exchange Administration (30%)

Act as primary adviser for incoming international exchange students (approximately 100 annually) from initial inquiry through to completion of term at KU.

Advise partners and students on KU curricular offerings, course selection, admissions to KU, housing, visa procurement, and new student orientation.

Work with academic departments and individual faculty on student placement within KU academic units.

Collaborate with campus partners on the development and implementation of innovating and engaging programming for students throughout their tenure at KU.

Liaise with International Support Services, the Applied English Center, Student Housing and other campus units as needed to support international exchange students.

Special Committees and Projects (10%)

Serve as a contributing member to the SAGE Curriculum Integration team, working to ensure study abroad opportunities are accessible to students of all academic majors.

For specific academic majors, lead conversations with academic units on the identification and vetting of suitable study abroad programs for their students.

Positively participate, engage, and contribute to new or on-going process or program improvements, including web and Terra Dotta development, student outreach programs, small committee projects, etc.

Emergency and Crisis Management (5%)

Identify emergency services in host countries and prepare materials for emergency notebooks.

Share responsibility for being on-call to handle emergencies 24 hours/day, 7 days/week by holding office emergency cell phone as part of rotation schedule, which includes occasional evening/weekend hours and communication during crises with students, parents, faculty directors, SAGE leadership and KU risk management team, AIG TravelGuard, and overseas counterparts.

Position Overview:The full-time Education Program Coordinator is responsible for the development and administration of a portfolio of global internship and practicum programs in all regions of the world; the provision of student services to incoming international students participating in KU reciprocal exchange programs; and the administration of KU’s membership in the ISEP consortium.
