Job Overview:

We are seeking a friendly, energized, and organized individual with a strong work ethic to join our team as our Front Office Coordinator. The Front Office Coordinator will be the first point of contact for visitors and clients, providing exceptional service and creating a positive impression of our company. This is what we like to call a total “WOW” experience. The ideal candidate will have excellent communication skills, a professional demeanor, and the ability to handle a variety of tasks with efficiency and thrive in a busy, fast-paced office.

Responsibilities:

Front Desk Management:

Open the office each morning

Greet and welcome our guests with a warm and professional attitude

Manage incoming calls and redirect them to the appropriate personnel

Maintain a clean and organized reception area

Customer Service:

Provide excellent service to clients, guests, and employees

Address client inquiries and provide information about the company in a helpful manner

Assist in resolving basic client issues and escalate when necessary

Administrative Support:

Handle incoming and outgoing mail and packages

Assist in scheduling appointments and meetings as well as providing reminders

Order office supplies as needed

Perform basic clerical tasks, such as photocopying, scanning and filing

Contribute to office goals by accomplishing tasks and maintaining a team mentality

Complete other duties and projects as assigned

Provide support at client events

Communication:

Effectively communicate with internal teams to relay messages and information

Notify relevant personnel when a client arrives and is ready for their meeting

Manage email correspondence and forward messages to appropriate individuals

Assist with mass mailings

Requirements:

High school diploma required, some college preferred

Proven experience as a receptionist, office manager, or similar role

Excellent verbal and written communication skills

Proficient in Microsoft Office Suite (Word, Excel, Outlook)

Strong organizational skills with the ability to multitask

Professional appearance and demeanor

Ability to handle stressful situations with grace and composure

Compensation: $38,000 - $46,000 based on experience

Position Type:

Full-time, In-office
