Administrative Assistant / Intake Specialist
Full-Time | On-Site
We are seeking a highly organized and personable Administrative Assistant/Intake Specialist to support daily operations, provide outstanding client service, and ensure our office runs smoothly. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently.
KEY RESPONSIBILITIES
-Open and close the office daily, following established procedures.
-Greet clients, answer phones, and respond to inquiries in a professional manner.
-Manage attorney’s calendar, including client appointments, meetings, and conference calls.
-Prepare client intake forms, folders, and necessary documentation.
-Maintain organized electronic and paper files; follow record retention procedures.
-Prepare invoices and collect payments in a timely manner.
-Maintain office supplies, literature, and equipment; coordinate repairs as needed.
-Keep reception area, conference rooms, workroom, and client restroom clean and orderly.
-Obtain online records and data (e.g., deeds, vehicle values, stock valuations) as requested.
-Prepare legal documents and correspondence under attorney supervision.
-Perform other administrative and client service tasks as assigned.
QUALIFICATIONS
-Previous administrative, legal assistant, or client service experience preferred.
-Strong organizational skills with attention to detail.
-Excellent written and verbal communication abilities.
-Proficient in Microsoft Office and comfortable learning new software.
-Professional demeanor and commitment to client confidentiality.
WORK SCHEDULE
Monday–Friday, 8:30 a.m.–5:00 p.m. (on-site)
