Location: Indianapolis, IN (46077)
Employment Type: Part-time (15–20 hours/week, with potential to grow)
Proposed Start Date: ASAP
Compensation: $25-30+/hour, based on experience
Requirements: Non-smoker, must pass a background check, reliable transportation, comfortable with dogs and cats
About Us:
We are a vibrant, active family of four with two teens (ages 13 and 16), two lovable dogs, and one cat. We run a household and a growing e-commerce business out of our home, and we’re looking for a trustworthy, go-getting Executive House Manager & Personal Assistant to help us stay organized, on time, and moving forward. There’s no childcare in this role, but we need someone who’s comfortable managing a dynamic home and supporting a small business behind the scenes.
Who You Are:
You’re sharp, efficient, and proactive — the kind of person who walks into a room, sees what needs doing, and takes charge. You’re organized, self-motivated, tech-savvy, and not afraid of online systems or spreadsheets. You’re curious, eager to learn, and you care deeply about doing things right. Trust is huge for us — sound judgment and discretion are essential.
You’re kind and patient, but also assertive enough to manage tasks and take initiative without needing hand-holding. You’re the kind of person who thrives with a to-do list, loves crossing things off it, and has a sixth sense for how to make a household — and small business — run like clockwork.
Key Responsibilities:
Household Management & Administrative Support:
Prepare home weekly for cleaners (tidy, organize, streamline surfaces)
Help with household laundry, including washing, drying, folding, and putting away clothes, towels, and bed linens as needed
Manage scheduling and follow-up for household maintenance and vendors (plumber, koi pond, pool house maintenance, etc.)
Sort, manage, and organize mail and paperwork
Track, pay, and organize household bills
Coordinate donations
Handle returns, warehouse pickups, and local errands
Maintain household systems and seasonal chores (e.g., rotating clothes, organizing spaces)
Assist with basic meal planning, such as coordinating takeout or helping select and order meals from a delivery service (no cooking or grocery shopping required)
Executive Assistant Support:
Monitor and manage email and online accounts as needed
Schedule appointments and manage reminders for personal and business calendars
Assist with tax prep in coordination with a bookkeeper
Organize and track business and home-related projects
Comfortable working with tools like Google Docs, Notion, Amazon, Canva, Shopify, or willing to learn quickly
Willing to pitch in on any personal tasks as / when needed including driving kids to activities, appointments, etc.
E-Commerce & Digital Support:
Conduct light SEO research and website updates
Support content development (e.g., blog posts using ChatGPT, updating online store content)
Prepare creator briefs, coordinate with influencers, organize product shipments and media
Help with general business development tasks for a growing online business
Ideal Candidate Traits:
Highly organized and detail-oriented
Excellent judgment and discretion
Strong communicator; comfortable asking questions and taking direction
Proactive and eager to improve systems and workflows
Tech-savvy and a fast learner with new platforms
Curious, capable, and ambitious with a willingness to grow
Additional Information:
Flexible schedule, 3-5 days per week, but daytime availability is required
Open to evolving the role as needs grow — especially if you're interested in digital marketing or e-commerce
Must be comfortable with dogs and cats
We're looking for someone long-term who can become a trusted part of our team and home
