The Event Manager is responsible for providing professional client services support in the planning, organization and management of events within the facility, monitoring the logistics of these events and all coordination tasks after events are booked through the conclusion.ESSENTIAL DUTIES AND RESPONSIBILITIES

Supervises event staff including scheduling and training of standard operating procedures, job responsibilities and expectations. Works with staff to develop and maintain a service-oriented attitude.

Prepares work schedules, sets staffing requirements and ensures adequate coverage for assigned events.

Oversees all aspects of facility operations related to assigned events.

Manage onsite operations staff and contracted staff (security, first responders, temp staff etc.) as it relates to the assigned event

Assists Director of Operations with facility walk thru in regards to cleanliness and items to be repaired.

Reports any irregularities, discrepancies, damage or loss of property, or any other safety concerns to Director of Operations.

Develops, implements, administers and reviews accurate event records management system relating to all phases of event planning and operation.

Serves as primary liaison between clients, facility departments, and third-party vendors.

Meets with client groups to plan and organize assigned meetings and/or events.

Coordinates activities with the various service contractors for assigned meetings and/or events.

Guides clients in preparation of events by interpreting and explaining contract provisions, policies and procedures.

Keeps clients informed of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, insurance requirements and other relevant details.

Prepares cost estimates and monitors final billing.

Provides clear, concise, and timely communication of detailed events requirements to operational departments. Assists in scheduling operational set-ups to provide equipment or services needs. Monitors and supervises facility set-up.

Monitors in-house set-up and events, maintaining close contact with clients and facility staff to ensure successful events. Follows-up on all client requests (i.e.-special equipment or services needed), concerns, and resolve problems.

Attends appropriate planning, organization and other event and facility meetings in support of facility operations.

Rotate with other facility personnel to function as event Manager on Duty (MOD). Maintains responsibility and authority over all clients, staff, patrons, security and safety in the facility during events. Responsibilities include, but are not limited to, making sure contractual agreements are met and clients’ event requirements and changes have been made in a timely fashion. On-duty staff/subcontractors ultimately report to the MOD through any Managers or Supervisors who are present during the event.

Ensure that local, state and federal regulations are adhered to throughout the building and event process (ADA, OSHA, Fired Code etc.)

Works extended/irregular hours including nights, weekends and holiday as needed.

All other duties and responsibilities as assigned

SUPERVISORY RESPONSIBILITIES

Directly supervises the Event Services staff.

Carries out supervisory responsibilities in accordance with ASM Global policies and applicable laws.

Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding; disciplining employees in conjunction with Human Resources; addressing complaints and resolving problems.

SKILLS AND ABILITIES

Excellent organizational and planning skills

Able to effectively communicate with customers and interact with all levels of staff, including management

Good written and verbal skills

Ability to prioritize tasks and to handle multiple task at one time

Demonstrate problem-solving and effective communication skills

Supervisory experience preferred

Professional presentation, appearance and work ethic

Ability to work independently with limited supervision and as a member of a team

Must be able to work long and irregular hours that will vary due to functions. May include day, evening, weekends and holidays.

EDUCATION AND/OR EXPERIENCE

Bachelor's degree (B. A.) from four-year college or university

1 to 2 years related experience and/or training or equivalent combination of education and experience

Working knowledge of the principles of facility management, services and equipment for a similar facility

COMPUTER SKILLS

To successfully perform this job, an individual should have some knowledge of computers. Microsoft Office and AutoCAD knowledge is beneficial.
