JOB OPPORTUNITY ANNOUNCEMENT Position Title: Procurement and Legal Operations Division: Legal Classification: Exempt Location: Springfield or Chicago Illinois Salary: $70,000-$80,000 Position Summary: This is a professional level position that is responsible for: creating, reviewing, routing and tracking purchase orders and related documentation; coordinating with other divisions, including Fiscal Operations, to ensure purchase orders are accurate, complete and timely; maintaining/updating files and procurement and legal databases; and providing administrative support to the Procurement and Legal Divisions. Attendance is an essential function of this position. Duties and Responsibilities :

Supports small purchasing including but not limited to preparation of purchase orders, providing support and procurement information to assist the Fiscal Operations division in its reconciliation of receipts of and payment for goods and services.

Creates, tracks and edits as needed Procurement entries in the office’s SAP enterprise resource system for Procurement and Fiscal Operations management.

Communicates and coordinates with vendors and the Fiscal Operations division to ensure appropriate and accurate documentation and compliance with state guidelines.

Prioritizes all requests and related correspondence and maintains records for information as required for small purchases, including accountability for status tracking and information requests as necessary.

Receives phone calls and responds appropriately ensuring priority handling.

May periodically draft and/or amend various types of contracts and other legal documents for management and attorney review.

Assists with maintaining the electronic database for office contracts, including but not limited to preparing and sending updates and notices when action is or may be required.

Properly handles and maintains correspondence and files for the Procurement and Legal divisions which may be sensitive and confidential in nature.

Assists as needed with needs of the Legal division, including in-person payments or related needs.

Performs other duties as assigned or required which are reasonably related to the duties enumerated above.

Specific Skills:

Strong technical and analytical knowledge and skills

Strong attention to detail

Proficient in Microsoft software applications

Ability to track needs, set priorities and perform multiple assignments simultaneously

Demonstrated written, verbal, and interpersonal skills

Ability to interact with all levels of management

Ability to maintain satisfactory working relationships and communicate effectively with all levels of staff and the general public

Desired proficiency in SAP enterprise resource software

Education and Work Experience:

Associate degree or Bachelor’s degree in information science, data processing, or accounting

studies or any other related field; two (2) or more years of experience in a professional setting; OR any equivalent combination of experience and training that provides the required knowledge, skills and abilities.

Certificates and Licenses: E xperience with SAP enterprise resource software preferred, as is Certified Professional Public Buyer or Certified Public Procurement Officer designation.
