Job Title: Office CoordinatorJob DescriptionWe are seeking a motivated and detail-oriented Office Coordinator to join our team. The ideal candidate will process job work orders and purchase orders, coordinate with the Project Manager and scheduling team, and manage various administrative tasks. This position is perfect for someone who enjoys a steady and consistent role with multiple moving parts. Responsibilities

Process job work orders and purchase orders, and communicate follow-ups with customers

Work with the Project Manager and scheduling team to resolve customer issues

Coordinate with the warehouse to manage the delivery of services and products

Handle all changes made to purchase orders

Process change orders from job sites

Track and communicate job site issues

Process post-installation summaries from on-site teams and follow up as necessary

Provide accurate, valid, and complete information using the appropriate methods and tools

Maintain records of customer interactions, process, and close customer accounts, and file documents

Follow communication procedures, guidelines, and policies

Serve as the intermediary between the Project Manager and installers

Set up team meetings

Produce job summaries and daily reports for Project Managers and Sales

Utilize MS Word and MS Excel on a daily basis

Use QuickBooks to process purchase orders and track orders

Process requests with Expediters

Pull files and gather information for Project Managers and customers

Provide administrative, clerical, customer service, and front desk support as needed

Essential Skills

5-7 years of experience in an administrative or coordinator role, preferably within construction trades (e.g., carpentry, HVAC, painting)

Proficiency in MS Office, particularly MS Excel at a basic level

High School Diploma or GED

Experience with QuickBooks

Strong organizational and multitasking skills

Ability to prioritize and manage time effectively

Excellent written and verbal communication skills

Self-starter capable of working with minimal supervision

Additional Skills & Qualifications

Experience in the furniture, hardware, or distribution industries

Experience with project management or project coordination

Thick skin and the ability to handle high-pressure environments

Detail-oriented and deadline-driven

Pay and BenefitsThe pay range for this position is $20.00 - $25.00/hr.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
