Office Manager DEPARTMENT: Corporate Accounting REPORTS TO: Chief Financial Officer STATUS: Exempt PURPOSE AND SUMMARY STATEMENT Under the direction of the CFO, assists in areas such as corporate office personnel management, capital asset management, and inventory management. Provides accounting assistance and maintains accounting software systems. ESSENTIAL JOB FUNCTIONS Provides leadership to the corporate office administrative office personnel. Determines work procedures and expedites workflow. Evaluates office production, revises procedures, or devises new forms to improve efficiency of workflow. Develops and directs administration and implementation of accounting computer systems and technology, including but not limited to Agvance, Kwik Tag, OPW, Tank Spotter, and AME. Assigns vehicle numbers to vehicles and equipment for the company, maintains vehicles spreadsheet on SharePoint. Adds new vehicles to CMI Fixed Assets to setup the proper depreciation schedules. Assists with month end processing and printing of customer statements. Assists with inventory management and costing and prepares monthly shrink analysis. Maintains company assets in CMI Fixed Asset software and applies the depreciation rates that apply to capital assets. OTHER JOB FUNCTIONS Collaborates with Management Staff and Plant Managers to ensure all equipment, rolling stock, and facilities are recorded appropriately in CMI Fixed Assets. Serve as the backup for the energy billing, as needed. Develops beneficial relationships with required vendors for energy products. Assists with vehicle and equipment licensing for the company and with assigning vehicles to the appropriate insurance policy in Riskonnect. Assists with processing license renewals and IFTA returns and reports. Performs other duties as assigned. REQUIREMENTS Normally requires a college degree in accounting, business administration or business-related field or equivalent combination of education and experience. Requires a minimum of 5 years’ experience in accounting or business management with knowledge of sales and motor fuel taxes. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Demonstrated supervisory experience including orientation, coaching, counseling, and training and development, etc. and the ability to get work done through others. Proven ability to work independently and in a team-oriented environment. Proven professional communication, persuasion, presentation, and customer service skills. Demonstrated planning, organization, time management, and problem-solving skills. Demonstrated math skills and the ability to calculate discounts, interest, commissions, proportions, percentages, area, circumference, and volume, etc. Ability to use the computer to enhance business processes. Demonstrated core competencies including business knowledge, collaboration, communication, customer focus, decision making and skill development.
