Beacon Hill, in partnership with a leading financial services firm, is seeking a proactive and professional Receptionist to join their team at their Chicago headquarters. This role is crucial for ensuring the efficient operation of daily office activities. This is a compelling opportunity for those with administrative or strong hospitality backgrounds to join a globally recognized bank, with its headquarters situated in downtown Chicago's Loop area. Responsibilities:Welcome and direct employees and visitors to their designated areas.Maintain cleanliness and order in the reception area, including managing newspapers, magazines, flowers, and candies.Greet and seat guests in conference rooms and assist with catering setup as needed.Answer and screen incoming calls, provide messages, and manage rollover phone coverage.Oversee daily and weekly office meal programs, including liaising with vendors and delivery drivers, planning menus, and troubleshooting issues.Provide support to Executive and Administrative Assistants on various projects, including copying, scanning, filing, and preparing correspondence and marketing materials.Offer backup coverage for administrative assistants as needed.Experience and Qualifications:3+ years of administrative or hospitality experienceStrong understanding of processes, policies, and procedures in a professional environment, preferably in the financial services industry.Bachelor's degree preferred.Proficient in Microsoft Office programs (Outlook, Excel, PowerPoint, Word) and willing to learn new software as needed.Excellent organizational skills with the ability to prioritize and manage multiple tasks.Strong written and verbal communication skills, including professional phone etiquette and customer service.Excellent problem-solving abilities with keen attention to detail.Strong interpersonal skills and ability to interact effectively with all levels of staff and external partners.Ability to manage multiple projects simultaneously and adapt to changing priorities.Beacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
