We have an opportunity at our corporate offices in Chicago for a Staff Assistant III (Hybrid) on our Medical Education team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 times a month in the office.As a Staff Assistant III (Hybrid), you will support the effective operation of the Liaison Committee on Medical Education and perform key administrative functions for the director and other Division staff.RESPONSIBILITIES: Administrative Support

In accordance with guidelines, process all invoices and travel reimbursements for Division staff, LCME members and survey team members.

Monitor expense reimbursements and prepare regular reports for Division leadership.

Gather BCD Travel reports, uploads travel information to excel and monitor to ensure integrity of reports.

Assist in coordinating LCME meetings.

Monitor meeting registration and logistics such as hotel accommodations, meals, IT and audio-visual support and other meeting requirements.

Coordinate travel and meeting logistics with LCME members and their respective support staffs.

Create and distribute via FedEx meeting materials.

Maintain correspondence, survey team mailings and reports.

Maintain digital records.

Project Support

Produce a variety of data summaries and reports as requested.

Develop, maintain, and review data from spreadsheets and other data management tools.

Support with various small projects as requested by director and other division staff.

May include other responsibilities as assigned

REQUIREMENTS:

High School or GED required. Bachelor’s degree preferred.

Minimum 3+ experience in an administrative position required.

Meeting, planning, and program coordination experience required.

Excellent writing skills as well as verbal communication skills, including polished telephone presence. Ability to communicate effectively in person, in writing, and on the phone.

Excellent organization, coordination, and prioritization skills.

PC literacy expected, including proficiency with Word, Excel, and PowerPoint. Knowledge of MS Access required, including the ability to develop queries, run and review reports.

Demonstrated ability to perform effectively under deadline pressure and to manage concurrent projects.

Self-starter with attention to detail.
