Location Services Specialist

Description This temporary position supports the Location Services Manager or Supervisor by coaching staff and providing expertise to prevent building system failures. The role involves assisting with daily office operations, including answering multi-line telephones, greeting visitors, and providing administrative assistance with intermediate to advanced documents in Word, Excel, and PowerPoint.Essential Duties:

Execute Location Services projects such as moves, repairs, cleaning, conference room preparation, meeting and event coordination, and ensuring pantries are adequately supplied.

Perform daily walkthroughs and follow up on maintenance issues.

Coordinate with vendors and building management on life/safety and repair items.

Streamline and improve processes to manage inventory efficiently.

Purchase and maintain inventory of facilities/janitorial supplies and equipment.

Maintain vendor relationships, process payments, and track spending against the budget.

Identify trends and suggest cost-efficient upgrades or replacements for building systems.

Support Areas:

Mail services, including distribution, coordination of courier services, and assisting with mailing needs.

Assisting employees with large photocopy, scanning, and binding jobs.

Managing client files, records, and document retention.

Maintaining and ordering office supplies.

Managing visitor reception activities and ensuring quality customer service.

Coordinating meetings and events, including catering and audio-visual support.

Managing building card access systems and ensuring main entry doors remain secure.

Handling new hire/move/termination processes for the office.

Qualifications:Education:

High school diploma

Technical/Soft Skills:

Strong verbal and written communication skills

Advanced Microsoft Office skills

Strong grammar and prooing knowledge

Ability to prepare charts, graphics, and tables

Ability to manage multiple tasks and projects

Basic to intermediate knowledge of lighting, HVAC, and plumbing

Requirements

Special Requirements:

Able to lift up to 40 lbs.

Able to stand for extended periods

Punctual and adaptable to changing schedules

Clear and concise in conveying instructions

Effective organization and time management skills

Maintain professionalism in demeanor, conversation, and dress

Strong attention to detail

Experience:

3 to 5 years of experience in a related field

Demonstrated experience managing multiple projects

Leadership Skills:

Positive response to changing circumstances and implementation of business improvements

Collaborative support during peak times and business planning process

Preferred Requirements:

Excellent follow-up skills

Prior experience in a professional office environment
