Job DescriptionLocation: Chicago, ILHospital: RUSH University Medical CenterDepartment: Rush Health Credentialing/CVOWork Type: Full Time (Total FTE between 0.9 and 1.0)Shift: Shift 1Work Schedule: 8 Hr (8:00:00 AM - 5:00:00 PM)Summary:Coordinates Medical staff credentialing activities; responsible for providing varied clerical support, including data entry and physician database maintenance (ECHO); credentialing processes and other duties that support various Medical Staff Office activities. Serves as effective liaison between the Medical Staff and Medical Center Administration; provides insight into Medical Staff organization, bylaws, rules and regulations, State and Federal Regulatory Agencies, accreditation compliance and other critical matters that affect the healthcare environment. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.Responsibilities:

Initiates, oversees, administers, verifies, compiles, manages and maintains confidential research required for credentialing of initial applicants (Physicians, Dentists, Podiatrists, etc., and Allied Health Professional staff.

Process according to established legal, State and Federal agency, State licensing board, and TJC standards.

Prepares and reports all research and forwards to departmental chairpersons, Medical Staff committees, and to the board for review and action.

Coordinates tracks and monitors flow of information to ensue the timely processing and notification of applicants in accordance to guidelines outlines in the Medial Staff Bylaws.

Implements, coordinates, monitors, and maintains effective credentialing processes intended to appropriately credential physicians and non-physicians for reappointment and/or clinical privileges. Monitors the process by auditing credentials files, medical staff committee and department meetings to ensure timely and appropriate appointment and privileging activities.

Process according to established guidelines set by the Medical Staff bylaws on an ongoing basis.

Responsible for the maintenance of systems to ensure a method for Medical Staff review and privilege change requests.

Coordinates data collection process for Medical Staff reappointment, recredentialing and pre-delineation of privileges. Tracks and monitors process and completes necessary follow-up to ensure timely processing.

Follows legal, State and Federal agency, State licensing board, and TJC standards.

Consults with departmental chairmen after data is compiled and then prepares for Medical Staff committee review

Prepares and distributes materials for reappointment.

Keeps current with all accreditation standards and legal requirements related to medical staff affairs ensuring that operations conform to current and appropriate regulations.

Coordinates Medical Staff department/committee meeting activities in collaboration with the manager of Medical Staff Services to include meeting preparation and management, development of pre-meeting agendas and after meeting follow-up activities in direct relations to all department/committee meetings assigned.

Responds to reference requests from other facilities (i.e., hospitals, HMO’s, insurance companies) concerning practitioners currently or previously on staff.

Initiate and carry out bi-weekly correspondence related to LEAP ON-Line training requirements.

Inform department chairs of outstanding courses for their department staff.

Contact physicians regarding outstanding courses.

Act as liaison with Human Resources regarding course assignments.

Provide quarterly updates to departments regarding staff members.

Contact departments regularly regarding staff rosters; i.e., new physicians, terminations demographic information, etc. to ensure accuracy of information the MSO database.

Point person for external/internal query requests, e-mails to medical staff, Advance Practice Nurses and Physician Assistants, (Includes maintenance of e-mail addresses for above groups).

File, scan correspondence from medical staff files as needed.

Data entry of faculty files in Cactus database.

Maintain office supplies for Medical Staff Office.

Provide phone coverage.

Assist with all ad hoc Medical Staff and House staff mailings. Assist with preparations for Annual & Semi Annual/Faculty meetings/Dinner.

Responsible for mailbox and locker assignment and upkeep.

Log meeting attendance for various committees, semi-annual, annual meetings and other ad-hoc duties as assigned.

Other information:Required Job Qualifications: High school diploma, GED or equivalent. Highly attentive to detail and accuracy and possess strong organization skills. Candidate should possess excellent oral and written communications skills. Display professional demeanor and ability to relate positively with other department and hospital staff. Work well as a member of a team and maintain confidentiality at all times. Proficiency in Microsoft Word, Excel applications and database systems.Preferred Job Qualifications: Associate’s degree from two-year college. One year credentialing experience in medical staff services. Certified by the National Association Medical Staff Services (NAMSS).Rush is an equal opportunity employer.
