Executive Assistant / Administrative Business Associate
Compensation: Depending on Experience
Employment Type: Full-time
Experience Level: Mid to Upper Level
Hours: 40+ hours per week
About the Role
We are seeking a flexible, proactive, and strategic Executive Assistant / Administrative Business Associate to serve as the trusted right hand to the owner of multiple growing entrepreneurial companies.
This is not a typical assistant role—you will bring business acumen, computer and tech skills, accounting and financial insight, and project management expertise to ensure operations run smoothly. You’ll help keep the owner focused on business development and client relationships by managing priorities, systems, and details behind the scenes.
What You’ll Do
Anticipate needs and serve as the primary support for the business owner, keeping priorities on track.
Manage calendars, prepare high-quality materials, and ensure the owner is polished and prepared for client interactions.
Provide financial tracking, reporting, and analysis to support smart decision-making.
Oversee project workflows—coordinating timelines, tracking deliverables, and holding the team accountable.
Develop and improve systems that streamline operations and create clarity from complexity.
Communicate proactively to keep leadership informed of progress, risks, and opportunities.
Represent the business with professionalism in interactions with clients and partners.
Handle confidential information with the utmost discretion.
Adapt quickly to shifting priorities while maintaining focus on strategic goals.
What We’re Looking For
Professional, committed, dependable, and trustworthy with a collaborative spirit.
Highly organized, detail-oriented, and comfortable balancing multiple priorities.
Strong computer, accounting, and financial analysis skills.
Tech-savvy: proficient in Google Workspace, Microsoft Office, Excel, AI tools, and project management platforms.
Exceptional written and verbal communication skills.
Agile, proactive, and forward-thinking with the ability to anticipate needs.
Comfortable representing the company at meetings and events.
Available in person at least 5 days a week (with flexibility to adjust as business needs evolve).
5+ years of executive support, operations, administrative leadership, or related experience (experience in small business/entrepreneurial environments strongly preferred). Candidates with a strong blend of the listed skills will also be considered.
Our Culture
We are a mission-driven, growth-focused, entrepreneurial team that values clarity, trust, and mutual respect. We encourage collaboration, honest communication, and continuous improvement.
