Established retirement/financial planning and investment management firm in the Treasure Valley, seeks an administrative coordinator/client concierge for a critical hybrid role within the company.

We need a professional who either has experience greeting clients—or an individual for whom socialization comes easy—and can also express themselves with sincerity and warmth.
20 hours/week
Daily tasks include (but are not limited to):
Schedule appointments with existing clients, prospects and referrals
Schedule appointments in CRM
Download client details into the database
Follow up with warm leads to schedule first appointments
Prepare and disseminate various reports and information as requested
Use Online Chat software to seamlessly introduce and hand off appointments to the
advisor
Greet in-person clients warmly and contribute to the five-star customer experience
Leverage accepted business practices to generate profitable client acquisitions
Follow up with all clients consistently
Schedule and coordinate outside seminars and events as needed
Track all registrants and use CRM for contact management
Use CRM to correctly tag and put contacts in the correct campaigns
Assist with the creation, maintenance and implementation of forms using CRM
Arrange and coordinate travel schedules and various reservations
Handle daily correspondence, answer phones and general office tasks
TECHNOLOGY
Microsoft Office – Primarily Excel, Word & PowerPoint
Zoom (or similar video conference tools)
Appointment Schedulers
Google Drive (Sheets, Docs, etc) and navigates well
Rockstar online research skills
Understands or has used CRM tools Bonus if you know InfusionSoft
Project management, workflow, and account management tools and dashboards
Printer, Scanner, Fax, Phones, and other basic office equipment
