Administrative Assistant (Part-Time, Virtual)

As our virtual administrative assistant, you’ll be a calm, capable presence making sure nothing slips through the cracks. You’ll help keep things running smoothly behind the scenes — so our walkers can stay focused on what they do best: loving on dogs.
This is a part-time (roughly 10hours/week), fully remote opportunity with flexible hours. You’ll be valued, trusted, and given the space to own your role. It’s ideal for someone who thrives on systems, structure, and helping small businesses grow.

What We Need You to Do
Monitor, organize, and triage incoming emails, text messages, responding or escalating as appropriate.
Keep the owner informed and focused by flagging what’s urgent, important, or needs follow-up
Maintain simple systems to track tasks, scheduling needs, and client communications
Handlecalendar coordination, reminders, last minute changes and document filing
Be a proactive second brain — thinking a few steps ahead and keeping us one step ahead
What You Bring to the Table
Experience juggling digital communications and task management (think inbox zero vibes)
Excellent written communication and a calm, professional tone
Eagle-eyed attention to detail and strong prioritization instincts
A love for structure, clarity, and keeping things moving without needing to be micromanaged
Comfort working solo in a virtual role and checking in regularly with a small team

Sniff San Francisco is a locally owned, full-service dog care company that offers walking, training, and boarding. How you will be successful
Managing a fast-changing calendar and schedule
Coordinating pickups/dropoffs
Responding to emails and text messages from clients
Handling mail, bill payments, basic bookkeeping and record-keeping
Managing files and documents
Drafting emails, contracts, and correspondence
Using AI tools to assist with research, drafting, and workflow automation
Anticipating needs and staying two steps ahead
