Kailani Tours is a luxury tour operator seeking an Operations Assistant to help set up each day for success. This dynamic role supports our guides, office staff, and upper management with morning dispatch, logistical coordination, and guest experience readiness. You don’t need to have tour or transportation experience—but being a quick learner with a positive attitude is key!

POSITION SUMMARY
50% Dispatching & Logistics:
Ensure each tour and vehicle is prepped and ready. Understand guide routes, guest pickups, and potential delays. Run last-minute vehicle swaps, deliver items, and help the day launch smoothly.
30% Tour Preparation:
Pack coolers, prep inventory, restock warehouse items, and coordinate supply needs. You’ll also help with ordering and cleanliness—making sure nothing is forgotten before the vans leave.
10% Van Washing & Vehicle Presentation:
Help maintain the appearance and cleanliness of our luxury fleet. This includes occasional light van washing and ensuring all vehicles meet our high-end presentation standards.
10% Operational & Marketing Duties:
Be ready to assist with special requests, hotel marketing drops, vehicle shuttles, or even helping set up a restaurant for a VIP group. No two days are the same.
KEY RESPONSIBILITIES
Communicate clearly and professionally with vendors and guides
Handle phone calls, emails, and reservation support
Assist the Operations Manager with scheduling, clerical tasks, and inventory
Help with fleet needs including inspections, fuel checks, van swaps, and guest assistance
Maintain a clean, organized warehouse and work environment
Perform basic van washing (approximately 10% of duties) to uphold brand standards
Other duties as assigned
