They are looking for a Project Assistant (PA) to support their project operations by handling administrative tasks, managing documentation, and ensuring seamless communication within the project team.
Position Summary
The Project Assistant (PA) will play a crucial role in supporting project management activities. This individual will be responsible for document control, tracking project-related information, and coordinating communication between stakeholders from project inception to completion.
Key Responsibilities
✅ Assist in assembling and managing project documentation, including contracts, purchase orders, insurance, legal documents, and warranties.
✅ Maintain accurate records of project-related documents, including submittals, RFIs, change orders, and specifications.
✅ Support project teams by distributing correspondence and tracking document logs.
✅ Ensure timely and accurate submission of certified payroll reports.
✅ Coordinate with subcontractors, vendors, and suppliers for required documents, orders, and deliveries.
✅ Facilitate communication among project stakeholders, including general contractors and field employees.
✅ Provide general office support, including greeting visitors, answering calls, running office errands, and scheduling meetings.
Qualifications
High school diploma or equivalent (Business degree preferred but not required).
3+ years of administrative or secretarial experience.
Strong organizational skills and ability to multitask in a fast-paced environment.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Ability to work independently and as part of a team.
Must be able to pass background checks and company drug screenings.
Valid driver’s license required.
