Over the last nearly 50 years, Trilogy Excursions has established itself as an industry leader in Maui for sailboat tours & activities by consistently delivering service that promotes a fun and safe working environment, while also exceeding customer expectations. The Operations Support Administrator (OSA) is responsible for the scheduling of work shifts, training drills, and other periodic and one-time events. The OSA works with the Operations Manager to track staffing needs and requirements including managing time off requests and vacation. OSA works closely with the Fleet Manger to schedule necessary trainings and maintenance.

Essential Functions & Responsibilities:

Uses independent judgement within general guidelines to generate and manage captain & crew schedule.

Maintains captains and crew schedules at minimum 14 days in advance following guidelines set forth by Operations Manager.

Approves and coordinates shift swaps, vacation requests, sick/injured coverages, and other schedule related issues.

Answers the scheduler phone and email accounts and provides timely responses to messages (5) five days per week from 5am-8pm.

Reconciles captain & crew timesheets at the conclusion of each pay period.

Updates websites and online databases with training materials and schedules, menu item ingredients, and other information.

Assists with other operations support administrative duties as needed.

Skills and Abilities Required:

Must have strong verbal and written communication skills.

Proven ability to communicate professionally and accurately verbally and in writing.

Effective decision-making skills.

Must be able to multi-task and manage multiple priorities.

Must detail orientated and able to produce documentation as required.

Ability to understand and implement company policies and procedures.

Demonstrated proficiency in Microsoft Excel, Word, Outlook, OneDrive, SaaS.

Excellent people skills, with an emphasis on clear and appropriate communication.

Skill in fostering a team environment to create a healthy and engaged work culture.

Represents Company with Professionalism, tact, and integrity.
