Assistant General Manager

Job Summary

The Association of Apartment Owners of The Esplanade is seeking a qualified individual to fill the Assistant General Manager position. The Esplanade has 209 units, recreation facilities, boat docks, and storage areas. The individual must have great interpersonal skills, be able to multi-task, have a strong work ethic, and should be customer service oriented. The Assistant General Manager is responsible for assisting the General Manager in the operation of the site and provides administrative, clerical and oversee services to residents and employees under the supervision of the General Manager.

Duties and Responsibilities

Daily interaction with residents, employees, and vendors; responding to inquiries, concerns, and complaints. Work with the Board Committees as required for AOAO related issues.

Communicate to all residents about activities in the building that will impact them.

Perform general administrative duties to include, but are not limited to, answering emails, phone calls, registering new residents, taking reservations, following up with residents and contractors, filing, etc.

Implement and maintain procedures/office administrative systems.

Maintain and update rosters, lists, handouts, and various paperwork.

Code and process invoices, submit check requests, prepare personnel timesheets, prepare bank deposits, prepare invoices for storage locker rentals, parking rentals, and electric vehicles.

Prepare personnel timesheets, bank deposits and newsletter drafts.

Manage and edit The Esplanade website.

Create notices and advertisements for bulletin boards, digital board, and website.

Organize property and personnel files.

Organize induction programs for new employees, training programs, and license renewals.

Order supplies for the office and other departments as needed.

Perform duties as the General Manager in the absence of the GM.

Assist in preparing all Board meetings to include scheduling, preparing meeting notices and Board meeting packets and other assigned duties as required.

Position requirements:

Minimum High School/GED Grad, Some College preferred

1-year related office management skills,

Excellent communication and interpersonal skills

Computer literacy and web-based software skills

Decision-making and mediation skills

Salary Range/Benefits:

Full Time position

Salary range of $40,000 - $50,000 based on level of experience.

Two weeks paid vacation after one year of employment

Ten paid Holidays.
