The company is seeking an entry level or mid-level administrative assistant to join our amazing team.
Description of Duties
1. “Team Player” focused on the success of the company. Bring a proactive positive high energy and “Can Do” and solution driven attitude.
2. Administrative Support to management team.
3. Daily Administrative Duties including but not limited to
Reception duties: Greeting visitors, managing front desk operations.
Communication management: Answering phone calls, directing inquiries, taking messages, and responding to voice mails and emails.
Calendar management: Schedule meetings, appointments, and manage calendars for executives or teams
Meeting support: Setup conference room, virtual meetings, prepare meeting materials, order and pickup food
Project management: tracking tasks and deadlines and facilitating communication.
Document preparation: Creating, editing, and distributing documents like standard forms, company memos, letters, reports, presentations
File management: Maintaining organized filing systems, both physical and electronic
Travel coordination: Arranging travel logistics including booking flights, hotels, and transportation
Office administration: ordering supplies, managing inventory, office maintenance and cleaning
Data entry and recordkeeping: Maintaining accurate records and databases
Basic accounting: validating and processing invoices, invoicing clients, processing company credit card statements
4. As time permits, provide administrative support to other team members.
5. Other duties as required (5%)
