HIRING: Administrative Assistant
LOCATION: Honolulu, Ward area (free parking)
HOURS: 15 - 25 hours/week to start, with potential for growth
PAY: $14 - $18/hr DOE, with quick increases based on performance and additional skills acquired
We are a small family-owned and operated business with its primary office located in Honolulu (Ward area, near Whole Foods). We provide auxiliary legal services like document preparation, passport renewals, notary, fingerprinting, and background checks. Our clients are local and international, either meeting with us in-office or remotely. We are looking for a self-motivated, personable, professional, organized, detail-oriented individual with a can-do attitude, as our Administrative Assistant. Our ideal candidate is flexible and able to grow with us. We anticipate increasing responsibility and seek to invest in the right person for the long term.
ESSENTIAL DUTIES:
Client Communication: Provide excellent customer service in person and on the phone. Answer and return client calls, texts, emails. Intake client information and/or details of client's service request. Coordinate obtaining confidential legal documents and other vital records from clients.
Scheduling: Maintain appointment calendars.
Document Handling: Scanning, copying, filing various confidential documents. Mailing documents via USPS, Fedex, and internationally via DHL, maintaining tracking information. Hand delivering confidential original documents to and from various State offices.
Project Management: Utilize problem-solving skills to bring tasks to completion in a timely, organized manner.
Marketing: Light research, prepare flyers or other marketing materials, outreach for potential partnerships or vendor opportunities.
Invoicing: Prepare and send invoices to clients, track payments received.
Office Maintenance: Maintain inventory of office supplies like paper, envelopes, printer ink. Tech-savy enough to troubleshoot printer / scanner.
Driver's License required. Notary license preferred, but willing to train.
Hiring an independent contractor only at this time (1099), with potential to transfer to employee status in the future.
