Holly Services Hawaii is seeking an experienced and hands-on Senior Manager of Operations to lead the Adult Day Care Center facility and Home Care operations, creating a safe and efficient work environment to improve performance and optimize staff productivity. Senior Manager duties include implementing policies and safety procedures, minimizing hazards, preparing budgets and monitoring expenditures, general marketing for customer recruitment, managing user applicant paperwork and interviews, hiring staff, creating and managing work schedules, employee training, and managing First Aid & CPR attendance, Create monthly activity programs and food menus, schedule activity instructors, brief temple volunteers and manage participation schedules, ensure compliance with state regulations, e.g., adhere to and enforce DOH sanitation rules in the kitchen and fire evacuation training, manage and purchase facility equipment and liaising with other departments, working with vendors and contractors, and negotiating lease agreements. Your skills in directing facility and operations functions will assist our organization in minimizing disruption to overall business operations, improving working conditions, and creating a safe and comfortable environment for both staff and customers.
The ideal candidate for this role should have excellent communication skills, strong organizational skills, extensive knowledge of business functions, and project management experience. A good operations manager must understand the needs of customers and staff, support day-to-day business operations, ensure the efficient operation of the facility, reduce risks, and ensure the facility and caregiving services meet the needs of clients and staff.
Job Summary
The Senior Manager of Operations will oversee the Adult Day Care Center facility and Home Care on Oahu. This position is responsible for managing the daycare center program, providing home care services, safety management and training to minimize the risk of client and employee injury, recruiting, marketing, budget management, and updating operational rules and systems from the Operations Manager's perspective to report and make proposals to the company.
This position is within the senior leadership team, reporting directly to the CEO.
Essential Duties
Create monthly activity programs and food menus
Coordinate and assign outside activity instructors
Manage team members to open the facility according to the calendar
Updating training plans and implementing it to existing and new employees
Ensure staff holding First Aid & CPR and placing according to regulations
Monitor equipment inventory and place orders when necessary
Ensure the proper maintenance of facility and equipment.
Carrying out inspections of the facilities to identify, document, and recommend plans to resolve issues.
Ensuring that all participants follow operating and usage policies.
Implement and encourage understanding of company policies and safety procedures for employees and customers
Monitor sales and expenses and control the budgets
Develop and maintain relationships with client’s family members.
Check the daily work log to keep track of daily activities. Provide feedback as needed.
Supervise workload allocation and appropriate staff role assignments
Minimize hazards and risk of injury to employees and customers
Making hiring for staff and marketing plans for customer recruitment
Managing applicants’ documentation and interviews
Responsible for documenting staff and clients' health records, attendance, and emergency contact information
Arranging work schedules
Briefing temple volunteers and managing participation schedules
Makes every effort to ensure the security of the premises by preventing unauthorized personnel from entering the facility and clients’ homes
Assist with coordinating outside vendor repairs, such as scheduling, check-in/out vendors, provide supervision to the vendor work, and ensure deadlines are met
Ensure compliance with state regulations, e.g., adhere to and enforce DOH sanitation rules in the kitchen and fire evacuation training
Responsible for developing a draft facility sales plan and budget based on company growth and future needs
Updating fees, facility policies, and operation regulations as required
Monitor customer health/satisfaction and suggest to client families increasing the frequency, selling durable medical supplies, and promoting the combined use of home care services.
Evaluate employees for improvement in compensation and benefits
Work with the office to prepare for and respond to regular inspections by the State agencies
Notify each user's contact person in case of a significant problem, emergency, or life-threatening situation
Makes recommendations to leadership regarding facilities to improve service, streamline costs, and ensure efficient operations.
Negotiating lease agreements
Experiences
A minimum of 5 years experience in the medical or senior caregiving field.
A minimum of 3 years experiences as manager at Adult Day Care Center and Home Care.
A minimum of 3 years experience in management are required.
Experience leading and developing a team is a must.
