Tutor Doctor Hawaii, the premier education company specializing in one-to-one personalized tutoring, toddler classes, and S.T.E.A.M. camps, is currently seeking a part-time or full-time Administrative Assistant to join the team.

In this role, you will serve as the face of our organization, providing exceptional customer service to parents and students, ensuring a positive initial interaction. Responsibilities include processing registrations, managing inquiries via phone and online channels, sending out regular communications to leads and clients, and handling various administrative tasks. This position directly reports to the Programs Manager and will primarily focus on administrative tasks while also providing additional support in preparing for the learning center programs.

Responsibilities include the following.

-Warmly greet and engage parents and students upon arrival, creating a welcoming atmosphere.

-Share detailed information about Tutor Doctor Hawaii's programs and services with prospective clients.

-Provide polite, timely, and efficient responses to inquiries from families, students, tutors, and team members via phone, email, and in-person interactions.

-Support front desk operations by managing registrations, maintaining organized records, and assisting with basic administrative tasks.

-Receive deliveries and update inventory records accurately.

-Assist with the upkeep and maintenance of the office environment, ensuring cleanliness and functionality.

-Engage with students visiting the learning center for tutoring sessions and other programs, offering assistance and support as needed.

-Collaborate with the Learning Center Programs Manager and Programs Specialist to prepare for learning center programs and registrations.

-Provide support in coordinating and executing various programs and events.

-Effectively multitask and transition between various responsibilities throughout the day.

-Demonstrate flexibility, a willingness to learn, and a collaborative attitude while working with the team.

-Proactively identify and address any issues or challenges that arise at the front desk, independently solving problems to ensure smooth operations and exceptional customer service.

-Take initiative to identify areas for improvement within front desk operations and administrative functions, proactively implementing solutions to enhance efficiency and effectiveness.

Qualifications

-Previous experience in administrative roles is preferred.

-Proficient in computer skills and front desk operations, including Microsoft and Google applications.

-Are organized, can quickly establish relationships, and learn quickly.

-Have passion to help, positive energy, and empathy.

-Are personable, warm and enjoy working as a team.

-Maintain a friendly and approachable demeanor, fostering a welcoming environment for all visitors.

-Demonstrate the ability to independently and effectively solve problems, taking proactive measures to address challenges as they arise.

Salary

$18.00 per hour. 19-40 hours per week. Hours are flexible.

Requirements:

-Must have some consistent availability Monday – Friday 9:00 am – 6:30 pm and varying Saturday hours between 8:00 am – 5:00 pm. Hours are negotiable and flexible.
