Project Manager

Objective: Oversee the operations, maintenance, and safety of the Association’s common property in order to preserve and enhance the common areas. This position includes coordinating with contractors, managing bids and overseeing projects thru to completion.

General Responsibilities Include:

Project Proposals and Contracts:

Prepare and send bid specifications for Board approved projects and/or according to the Reserve Study Schedule, conduct on-site inspections with bidders to answer questions and clarify scope, evaluate proposals and prepare a written recommendation to the Board of Directors, prepare contracts for work, inspect and monitor work progress thru project completion.

Landscape and Irrigation Maintenance:

Meet with landscape contractors for bi-weekly onsite inspections, submit punch list items that require follow up/completion by the vendor, maintain and track quarterly maintenance schedules, approve invoices for work completed.

Monitor the monthly water usage for common areas and notify vendors of water usage concerns; Monitor the Eye on Water app for leak detection, correspond with the Department of Water Supply, when required.

Review landscape maintenance contracts prior to renewal and suggest contract scope and pricing updates.

Schedule maintenance items such as backflow preventor testing when required by the Department of Water Supply or other related landscape or irrigation issues.

Roadway Dedications:

Assist with Association owned roadway dedications to the County of Maui as well as landscape, roadway and easement dedications to the Association.

Reserve Study Updates:

Assist contracted reserve specialists with requested documentation so a thorough and comprehensive reserve study can be completed.

Other:

Communicate with Owners, when required, regarding project maintenance schedules

Prepare and install signage for community events

Perform light cleaning around the property, from time to time

Address common area concerns

Qualifications:

2+ years of experience in project management, property management, construction or related field

Strong organizational and time management skills

Must be able to work independently without much oversight

Excellent communication and vendor coordination abilities

Comfortable using computers

Reliable, self-motivated, and detail-oriented
