PROGRAM: Administration/Kiapu

REPORTS TO: Director of Finance

JOB OVERVIEW:

Perform general accounting/bookkeeping functions for the administrative office and assist in program accounting.

KEY RESPONSIBILITIES:

● Accounts Payable: Review and process vouchers and checks, vendor follow up;

● Accounts Receivable: Timely prepare invoices and request fund transfers;

● Submit requests for drawdowns which includes calculating total drawdown amounts for various programs and submitting payment/reimbursement request with federal or other agency for payment; verify when payment is received and disburse funds within the required time frame to cover designated expenses;

● Banking which includes recording/making deposits necessary to timely fund payroll costs and program costs and reimbursing program petty cash or other costs;

● Record journal entries to void checks, transfer funds between accounts, etc.;

● Consistent monitoring of intra-company payables/receivables;

● Ensure administrative/allocated costs are invoiced and paid for by programs if applicable;

● Work closely with Director of Finance, CFO, Project Director(s) and staff regarding monitoring expenditures, contracts and inventory, and budget planning for new projects;

● Monitor program budget(s), expenditures, and expenditure variances in accordance with applicable cost principles and grant requirements;

● Prepare budget related reports: Drawdown (including drawdown packets), fiscal reporting, financial statements, budget projections, dashboard, etc.;

● Reconcile receivable accounts, bank accounts, drawdown and Abila reports, indirect expense disbursement, etc.

QUALIFICATIONS:

● Bachelor’s degree in accounting or related field and three (3) years of experience in accounting/bookkeeping required;

● Five (5) years of accounting experience preferred;

● Working knowledge of personal computer software applications such as Word and Excel;

● Proficient in accounting/bookkeeping skills including budgeting, reconciliation, accounting software application(s), preferably Abila and QuickBooks;

● Must have access to a vehicle, have a valid driver's license, a safe and responsible driving record, and current no-fault auto insurance, with at least $100K in bodily collision per person and $25K in property damage liability.

WORK HOURS:

● Monday through Friday, 8:00 a.m. to 4:30 p.m. or as otherwise determined by the supervisor;

● Position requires regular and predictable attendance;

● Some events on evenings or weekends at various times may be required.

WORKING CONDITIONS:

● Office setting;

● If telework is allowed, must have a designated area in home that is free from distractions and conducive to telework arrangement;

● Travel in personal vehicle to and from program, meetings, banks, and training sites;

● Travel to the neighbor islands and U.S. continent may be required.

EMPLOYMENT CLEARANCE REQUIREMENTS:

● Driver’s license, a safe and responsible driving record, current no-fault auto insurance, with at least $100k for bodily injury per person and $25k for property damage, access to insured vehicle.

● Education verification, State criminal check, State and national sex registry clearance.
