License and Certification Qualifications: None required.Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.Experience Qualifications: Five years secretarial/administrative or equivalent acceptable experience required.Skills Qualifications: Demonstrated skills in oral and written communication; demonstrated skills in organization and problem solving; accurate typist; proficiency in word-processing, graphics, and spreadsheets with experience using Microsoft Office and Lotus Notes; ability to record and issue minutes of meetings; strong calculator and mathematical skills; ability to follow oral and written instructions quickly and accurately; ability to detect and correct errors in standard English language usage; excellent telephone and public relations skills; knowledge of state and local governmental operations; ability to analyze existing processes and identify areas for improvement; ability to act as a representative of Gwinnett County Public Schools; and ability to work across functional boundaries and interact with employees at all levels of the organization.Primary Responsibilities: Provide general administrative and clerical support to the Cluster Superintendents of School Operations and Support and assist with functions and activities associated within the School Improvement and Operations Division.1. Perform general administrative support duties.a. Take and transcribe dictation of various types including, but not limited to, letters, memos, reports, and minutes of meetings.b. Maintain an accurate schedule of activities for supervisor and keep him/her informed of schedule.c. Prepare various minutes, reports, work order, memoranda, and purchase orders as needed to maintain the efficient and effective operation of the office to which assigned.d. Develop spreadsheets, graphs, charts, and presentation documents.2. Perform general clerical duties.a. Maintain an effective and efficiently run office.b. Apply software and technology appropriately to produce quality documents and materials.c. Maintain an appropriate production rate and streamline routine tasks to manage time effectively.3. Communicate with other people in a businesslike, courteous, and efficient manner.a. Act as department receptionist both in person and over telephone.b. Ensure that correspondence and other paperwork sent from the office conforms to standard English usage.c. Utilize telecommunication equipment courteously in the efficient operation for the department.d. Route incoming and outgoing correspondence accurately.4. Establish effective public relations among internal and external audiences.a. Represent the division professionally in all aspects of communication.b. Assist the public graciously and effectively.c. Assist public requesting information with appropriate division personnel.5. Cooperate with and maintain a positive relationship with other divisional employees.6. Cooperate with and maintain a positive relationship with other school system employees.7. Assist with new projects as assigned.8. Perform other duties as assigned.
