We are seeking a highly organized and proactive Property Manager / Personal Assistant to support the founder in day-to-day operations, property management tasks, and business administration.

Additional Overview

We are seeking a dedicated and detail-oriented Property Manager to oversee the daily operations of our residential and commercial properties. The ideal candidate will possess strong negotiation skills and a comprehensive understanding of property leasing, maintenance, and legal requirements. This role requires excellent customer service abilities and a commitment to maintaining high standards for property management.

Duties

Manage property leasing processes, including marketing available units, conducting showings, and negotiating lease agreements.

Oversee property maintenance by coordinating repairs and ensuring compliance with safety regulations.

Maintain accurate records of tenant interactions, lease agreements, and maintenance requests through effective data entry practices.

Provide exceptional customer service by addressing tenant inquiries and resolving issues promptly.

Ensure compliance with local laws and regulations related to property management, including knowledge of Section 8 housing programs.

Implement legal administrative procedures to protect the interests of the property owner while maintaining tenant rights.

Utilize strong phone etiquette to communicate effectively with tenants, vendors, and stakeholders.

Conduct regular inspections of properties to ensure they meet quality standards and address any maintenance needs.

Key Responsibilities:

Administrative Support: Manage the investor’s calendar, appointments, and email correspondence, ensuring all tasks are prioritized and deadlines are met.

Property Management Assistance: Help with the coordination of maintenance requests, repairs, and tenant inquiries.

Financial Tracking: Assist with tracking income and expenses for rental properties, help organize invoices, receipts, and other financial documentation for easy access.

Market Research: Conduct research on potential new properties, trends in the rental market, and provide insights or suggestions for investment opportunities.

Vendor Management: Liaise with contractors, cleaners, landscapers, and other service providers to ensure properties are well-maintained.

Tenant Relations: Help facilitate communication with tenants, ensuring that issues are addressed promptly and professionally.

Document Preparation: Assist in preparing and managing leases, contracts, and other legal or property-related documents.

Other Tasks as Needed: Support ad hoc projects related to property management, investments, and business growth.

Experience

Proven experience in property management or a related field is preferred.

Strong negotiation skills with a track record in property leasing and sales.

Familiarity with property maintenance processes and legal requirements governing rental properties.

Excellent customer service skills with the ability to handle challenging situations professionally.

Proficient in data entry and record keeping to maintain organized documentation of all property-related activities.

Ideal Candidate:

Highly organized with excellent time-management skills.

Strong attention to detail and ability to multitask effectively.

Excellent written and verbal communication skills.

Self-motivated and capable of working independently with minimal supervision.

Experience in property management or real estate investment is a plus but not required.

Proficiency with office software (e.g., Microsoft Office, Google Suite) and property management software (e.g., Buildium, AppFolio) is desirable.

A proactive problem-solver with a customer-service mindset.

Ability to maintain confidentiality and professionalism in all interactions.
