We are seeking a highly organized, friendly, and professional Administrative Assistant who thrives in a fast-paced staffing environment. This individual will support day-to-day office operations while also assisting with recruiting and onboarding responsibilities. The ideal candidate is bilingual (English/Spanish), detail-oriented, and committed to providing outstanding service to both internal teams and external clients.
Administrative Responsibilities:
Greet and assist onsite guests, maintaining a professional and welcoming front desk presence.
Answer and route phone calls promptly; take messages and transfer calls as needed.
Check voicemail and respond to inquiries in a timely, courteous manner.
Maintain front lobby and office tidiness throughout the day.
Process and print employment applications; handle incomplete or missing documents.
File applications, resumes, and I-9 forms; schedule and complete filing sessions .
Coordinate and submit payroll forms such as W-4s, Direct Deposit (DD), Change of Address (COA), and Employee Data Change forms.
Support the Friday paycheck pickup and distribution process.
Prepare employee badges and onboarding packets.
Maintain and update HRIS (Avionté) and physical filing systems for accurate tracking and compliance.
Cover front desk during breaks and lunch periods.
Draft and send internal/external correspondence and formal documents.
Schedule meetings, appointments, and events to support office operations.
Recruiting Support Responsibilities:
Schedule and conduct interviews with prospective candidates for a variety of roles in manufacturing, production, and logistics.
Review and analyze resumes to assess qualifications and job match.
Conduct background checks and drug screens as part of the hiring process.
Assist candidates with completing all new-hire paperwork.
Make inbound and outbound calls to screen applicants and follow up with clients.
Communicate with clients via phone and email regarding staffing needs and candidate updates.
Attend and help coordinate job fairs and recruitment events.
Collaborate with internal recruiting team to meet staffing goals and fill open orders quickly and efficiently.
Requirements:
Bilingual – Fluent in English and Spanish (read, write, and speak)
Minimum 1 year of recruiting or administrative experience in a staffing or HR setting
Strong written and verbal communication skills
High level of professionalism and customer service
Flexibility to work overtime and occasional weekends
Proficient in Microsoft Office and comfortable learning internal systems like Avionté
