Job Description: Front Desk Coordinator - Premier Dermatology Clinic
Position Overview: We are seeking a highly organized and customer-oriented Front Desk Coordinator to join our premier Dermatology clinic. As the first point of contact for our patients, you will play a crucial role in providing exceptional customer service and ensuring the smooth operation of our clinic's front desk. Your friendly demeanor, strong communication skills, and ability to multitask will contribute to the overall success of our patient care experience.
Responsibilities
Patient Relations:
Greet patients warmly and provide a welcoming atmosphere as they arrive at the clinic.
Assist patients with appointment scheduling, rescheduling, and cancellations, using our electronic scheduling system.
Answer incoming phone calls, address inquiries, and direct calls to the appropriate staff members.
Communicate effectively with patients, addressing their needs, concerns, and questions in a professional and empathetic manner.
Check-In and Check-Out:
Manage patient check-in process, verifying personal and insurance information, and ensuring accurate record-keeping.
Collect necessary forms, insurance cards, and identification during the check-in process.
Coordinate patient check-out, processing payments, providing receipts, and scheduling follow-up appointments as needed.
Appointment Coordination:
Maintain the appointment schedule, ensuring efficient use of time and optimal patient flow.
Send appointment reminders to patients via phone, email, or text message. Assist in scheduling consultations, treatments, and procedures, collaborating with medical staff to accommodate patient needs.
Administrative Tasks:
Maintain patient records accurately and confidentially in compliance with clinic policies and regulations.
Handle medical records requests, ensuring proper authorization and timely delivery. Assist with filing and organization of paperwork, including scanning and indexing documents.
Team Collaboration:
Coordinate with medical staff, and providers to ensure seamless patient care.
Communicate pertinent patient information to the clinical team, such as allergies, special requests, and medical history.
Office Maintenance:
Keep the reception area clean, organized, and well-stocked with necessary supplies.
Report any maintenance or equipment issues to the appropriate department for resolution.
Qualifications:
High school diploma or equivalent; additional education or certifications are a plus.
Proven experience in a customer service or front desk role, preferably within a medical or healthcare setting.
Strong interpersonal and communication skills with the ability to interact with patients, staff, and vendors professionally and courteously.
Proficiency in using electronic scheduling systems and medical software.
Excellent organizational skills and the ability to manage multiple tasks simultaneously.
Attention to detail and accuracy in record-keeping and administrative tasks.
Ability to handle sensitive information with confidentiality and discretion.
Familiarity with dermatology terminology and procedures is a plus.
