Job Description Includes but not limited to:
Answering a multi-lined phone and routing calls correctly, taking messages when needed.
Provide personal administrative support to President, Plant Manager, Service Coordinator, Purchasing Agent and the company through conducting and organizing duties and activities including receiving, sending and handling information.
Use of Computer programs including: MS Word, Excel, Act and Peachtree.
Prepare proposals, sales agreements, environmental permits and other correspondence as needed.
Follow-up with customers and other contacts, by telephone, email and/or fax to send and/or receive information and documentation including installation manuals, pre-construction check-lists, environmental permits, shipping quotes and confirmations.
Set-up and maintain retort proposal / sales and pre-construction files.
Using ACT - Enter new locations, record activities / history and update information as needed.
As well as HR functions:
Ensure compliance with all local, state and federal regulatory laws.
Maintain security and confidentiality of personnel files and proprietary information.
Set-up, maintain and audit personnel files on a regular basis.
Oversee all phases of on-boarding and off-boarding staff including but not limited to: create and post job opportunities on-line, create and update job descriptions, screen applicants, perform reference and background checks, conduct orientations, performance reviews, exit interviews and provide post-employment references, coordinate state sponsored OJT reimbursement opportunities, oversee disciplinary actions, warnings, terminations and process unemployment and contested claims.
Administer insurance benefits including: medical, dental, vision and supplemental coverage working directly with insurance companies, agents and brokers, complete questionnaires, census and enrollment modifications during open enrollment period, make Section 125 changes in coverage throughout plan year, and coordinate Cobra transitions when applicable.
Maintain an awareness of best trends and practices of HR revising policies and procedures to maximize performance, productivity, efficiency and morale across the organization.
Safety, wellness, welfare and health: Prepare and/or update and implement new employee handbook, safety programs and policies. Worker’s Compensation: Oversee drug-free workplace program, worker’s compensation records, reports, audits and process claims working directly with employees, supervisors, insurance claims adjusters and medical and rehabilitation facilities. OSHA – create and maintain safety manuals, communication programs, company vehicle and fork-lift inspections and maintenance, respirator fit-tests, fitness-for-duty exams, employee passports, overseas immunizations and world risk policies.
Provide legal support, including but not limited to: working directly with corporate attorneys concerning product liability, collections, contracts, EEOC, FLSA and labor disputes; state-level officials creating material for exams and continuing education credits; engineers and customers with review, preparation and submittal of domestic and international special bid projects as assigned by President/CEO; preparation of equipment proposals and sales agreements.
Compile, record and report required State/Federal government registrations, surveys and forms including: Dun and Bradstreet, Central Contractor registrations, On-line representations and Certifications Applications.
Attend seminars and webinars providing job-related training and/or continuing education credits for Human Resources, Affordable Care Act, Safety, OSHA, Worker’s Compensation, Lock-out/Tag-out and fall protection.
Work directly with insurance agents, safety advisors including but not limited to: Group Medical insurances, Human Resources, Drivers’ eligibility, loss-control, commercial and world-risk coverage.
And Payroll when needed:
Maintain time sheets
Enter hours, print checks, enter payroll in the bank, pay payroll taxes, file quarterly payroll taxes.
Pay Sales Tax for multiple states
