JOB DUTIES: General: Serves as the division’s Event Coordinator. Conducts meeting and event planning, promotion and execution in accordance with all division and department standards while managing all project delivery elements within time limits and budget. Plans, organizes, manages and facilitates events that promote division programs. Collaborates with division leadership and other organizational stakeholders to develop concepts and ideas for the division’s meetings and events. Responsible for pre-event logistics and on-site event management, including site selection, room set-up, audio-visual and technology needs, attendee arrival and flow process, room block management, ground transportation, and related activities. Manages the logistics of event set up, break-down, and follow-up. Responsible for the production and delivery of event run of show, site specifications, staff specifications, event walk-through schedules and all other event execution schedules. Organizes and manages the invitation, registration and attendee check-in processes. Secures and trains volunteers, if needed. Coordinates with team members to determine branding and information to ensure effective event promotion and marketing. Ensures events are delivered in accordance with division goals and standards. Serves as the primary point of contact on the day of event. Proactively handles any arising issues and troubleshoots any emerging problems during in a timely manner using tact, discretion and diplomacy. Develops an annual budget and plan for meetings and events. Adheres to the established budget to prevent cost overruns and attrition charges. Develops and manages meeting and event requests for proposals. Ensures compliance with insurance, legal, health and safety obligations. Oversees the purchase order and contract process for vendors and venues from creation to execution. Reviews, negotiates and manages vendor contracts for division events. Reviews vendor invoices to ensure accurate billing and reconciles invoices to the event budget. Processes event associated invoices and purchasing card charges in accordance with the prompt payment requirements. Serves as the division’s Alternate Emergency Coordinating Officer (Alt-ECO) for Emergency Support Function 11 (ESF-11). Provides direct support to the division and ESF-11 on emergency preparedness and administers emergency management functions during periods of disaster. Assists in the preparation and maintenance of emergency preparedness and post-disaster response and recovery plans. Assists in recruiting volunteers and maintaining rosters of personnel to assist in disaster operations. Helps coordinate appropriate training for agency personnel, and other needed resources. Coordinates and arranges event planning meetings. Ensures detailed minutes are taken during planning meetings. Works with division staff to measure and evaluate the effectiveness of division events. Establishes and maintains standardized event operational procedures. Analyzes event operations by establishing success metrics. Provides recommendations for improving operational efficiencies within events to division leadership and stakeholders. Proposes ideas to improve event services and quality. Research tools and technology solutions to improve event satisfaction and generate interest and increased participation. Establishes timelines for the planning of future events and maintains open communication with leadership and stakeholders throughout the planning process. Researches and maintains a working knowledge of current industry trends including changes, cost drivers, market conditions and economic indicators to inform event planning strategies and timelines. Represents the division and department at various conferences, meetings and events held at state and national levels. Builds and cultivates relationships with vendors, venues, convention and visitors’ bureaus, and other event professionals. Maintains a database of all division meetings, conferences and events that promote division programs. Maintains a database of potential venues for events for use in solicitation efforts.
