NOTES: Successful applicants must pass a background screening, including fingerprinting, as a condition of employment. JOB DUTIES: Assists the Personnel Liaison for the division. As assistant to the Personnel Liaison, will help manage the administrative aspects of the division’s personnel program, ensuring all actions are processed in a timely manner and in accordance with personnel rules, policies, and procedures. Assists with providing recommendations to improve division procedures for processing personnel actions. Reviews all documents relating to division personnel actions to include new hires, transfers, retirement, recommendations of classification and pay changes, creation of new positions, insurance, dual employment, flextime, and all other applicable forms. Upon completion of review, forwards the documents to the Personnel Liaison before final division-level approval. Assists Personnel with the hiring packages. Upon approval and return from Personnel, assists with maintaining the division’s most current approved organizational charts and position descriptions for the division. Assists with notifying appropriate bureau personnel of approvals and updates personnel files accordingly. Responsible for instructing new employees in the automated sign-up procedures and providing the appropriate sign-up documentation to Personnel Liaison. Retrieves personnel related data needed for special reports, inquiries, or division management documents. Responsible for preparing and submitting identification badge requests to Personnel for processing and assuring the identification badge is given to the appropriate employee and outside contractors in a timely manner. Assists Personnel Liaison with routine and/or technical correspondence relating to the work of the division. Performs and/or coordinates special assignments for Division leadership which relate to division programs. Research files and assists the Personnel Liaison in the development of materials, reports, and correspondence on special projects. Serves as the division liaison’s back-up for Public Records Requests and from the department’s correspondence tracking system. Coordinates the assignment of records request or information request with appropriate staff and ensures responses are sent to the correct party in a timely manner. Prepares cost estimates/invoices for public record requests. Responsible for developing and implementing public record request procedures and correspondence tracking procedures for the division.
