Project/Service Coordinator with Web Portal Entry Experience

Job Description:

Construction, Technical or Trades Knowledge preferred: Experience with project management software. Experience managing work flow from conception to billing.

Maintain subcontractor relationships, schedule subcontractors, assist in technical issues and collect all pertinent documentation to complete the jobs for billing. Proficiently manages user access, entry and navigation within an online portal and computer programs such as Excel and Word.

Organized: Highly organized with the ability to maintain clear and detailed records.

DUTIES / RESPONSIBILITIES

1. Work order follow-up

a. Review work order notes and update plans for future execution

b. Initiate follow-up work orders as necessary

2. Analysis of job requirements

a. Visits job sites

b. Determines job scope.

3. Performs job research.

a. Checks equipment history

b. Confers with engineer/tech rep. if required.

4. Develops detailed job plans.

a. Defines steps to be performed.

b. Defines sequence of steps

c. Determines labor required (includes skills and estimate time)

d. Determine materials, special tools, and PPE (includes ordering and confirming on hand)

e. Estimate total planned cost.

5. Job package preparation

a. Detailed work plan

b. Maintenance procedures, if applicable

c. Safety procedures

d. Permits

e. Change control requests, if applicable

f. Planned Parts list.

g. Prints, specifications, etc.

h. Kit materials, special tools, and PPE

6. Responsible for job close-out and follow-up including updating CMMS and initiating new work orders, if necessary

7. Responsible for all maintenance documentation management such as manuals, specification, spare parts lists, work plans etc.

8. Manage a maintenance schedule for maintenance work orders, recurring services provided by vendors, planned system/facility outages, and special projects.

a. Create a rolling multi-week schedule and a next week schedule.

b. Work with craft workers, account leadership, and customers to create schedules.

c. Communicate weekly and outage schedules to craft workers, maintenance leadership and the customer.

d. Monitor schedule performance, make necessary changes, and communicate.

e. Create and maintain scheduling meeting notes.

9. Manage maintenance work order backlog.

a. Assemble backlog by craft.

b. Analyze to ensure that it stays in check.

c. Ensure proper load leveling of preventive maintenance.

10. Participate in schedule coordination meetings.

11. Attend operations team meetings in person and by conf. call.

12. Responsible for planning/scheduling KPI tracking, trending, and reporting

Full Time: 100% on-site, M – F Day and night shifts available.

Job Location is Merritt Island.
