We are seeking a skilled and detail-oriented Probate and Trust Administration Legal Assistant to join our team and support our practice.
Position Summary:
The Probate and Trust Administration Legal Assistant will assist attorneys with all aspects of probate and trust administration, including preparing court filings, communicating with clients and courts, calendaring deadlines, managing documents, and maintaining case files. The ideal candidate should have prior experience in Florida probate and trust matters and possess a strong work ethic and exceptional organizational skills. Limited ongoing guardianship cases will also be within the area of responsibility for this position.
Key Responsibilities:
Draft probate pleadings, notices, and court documents
Prepare trust administration documents, including asset inventories, receipts, and distributions
Manage probate deadlines, including tracking notices to creditors and filings with the clerk
Communicate professionally with clients, beneficiaries, courts, and financial institutions
Assist with e-filing through the Florida Courts E-Filing Portal
Maintain detailed case files and task lists
Support attorneys with hearing preparation and follow-up correspondence
Handle sensitive client information with discretion and professionalism
Assist with a small number of ongoing guardianship matters
Serve as witness and/or notary for document executions
Qualifications:
Minimum 2 years of experience in a Florida probate or trust administration setting (law firm or fiduciary office preferred)
Proficiency in Microsoft Office Suite; familiarity with probate software or case management platforms (e.g., Clio, Westlaw) is a plus
Working knowledge of Florida Probate Rules and procedures
Excellent writing, grammar, and proofreading skills
Strong attention to detail, time management, and multitasking abilities
