The role of the HVAC Administrative Assistant is to coordinate field activities for installers and other field staff. This includes scheduling work requests, pulling permits, and answering incoming calls along with other important duties.
Responsibilities Include (but are not limited to):
Schedule and create work orders for installations
Coordinate and oversee daily schedules for new construction and retail jobs
Work with Field Manager as needed to discuss any field-related matters
Review and prepare field paperwork and notes for accuracy to prepare for invoicing to the client
Pull permits and schedule inspections
Track installation hours
Qualifications:
Outstanding customer service and communication skills
Strong computer skills, including Microsoft Suites and QuickBooks a plus
Commitment to performing high-quality work
Must be self-sufficient and able to work with very little supervision
Organized and able to work well under pressure
Ability to multi-task
Complete paperwork accurately and within the required timeframes
Perform other job-related duties as assigned
Additional Skills Desired:
Minimum 2 years of construction experience is preferred
Knowledge and experience specific to HVAC preferred and a huge plus!
Ability to communicate with clients, homebuilders, and managers professionally
Successful completion of pre-employment drug testing and criminal background check
