Job Description

Work Overview: We are a labor service company in the construction and other industries emphasizing /specializing in specialty cleaning & customer service. We are looking for a highly organized and full-time or part-time office manager to join and help grow our company.

Requirements: 2 Years of College or a Technical/Vocational School certification. Exceptional communication (written/verbal) and customer service experience. Proficient with QuickBooks, Microsoft Excel, Word, and Outlook.

Must have experience in Bank and Credit card month-end reconciliation, full cycle bookkeeping (transaction recording, posting to the ledger, preparing an unadjusted trial balance, performing adjustments, creating financial statements), and compliance reporting.

Able to think critically and logically and have problem-solving skills. Self-starter who can work independently.

Assist in implementing and improvement of co-worker's benefits. Bilingual Preferred (English / Spanish).

Results-oriented with a strong commitment to setting and achieving goals. Able to multitask.

Able to adapt to change & technology.

Able to read construction blueprints, or willing to learn to assist in writing proposals.

Knowledge of construction contracts, NTO's, Lien Releases, OSHA 300 log forms, AIA G702/703 pay application.

Notary - a must or able to obtain.

Create estimates & invoices.

Assist employer to conduct background and drug test screening.

Primary Responsibilities:

Assist with daily operations, phones, mail and replying to emails.

Prepare and submit payroll verifying attendance for discrepancies.

Ensure A/R & A/P are current. Billing with AIA G702/703 pay application.

Full cycle bookkeeping, bank and credit card month-end reconciliations, maintain general ledger functions, including journal entries.

Manage and create marketing efforts. Work with future customers and develop new business.

Manage filing/document management system.

Manage inventory of supplies and equipment.

Identify and help resolve issues and conflicts within the project team.

Follow up on insurance issues.

Keep management informed by creating reports to include P/L, project progress etc.

Work Schedule: FT/or PT, Day Shift, hours can vary, flexible schedule.

Salary: To be discussed with employer. Pay Range $56,000 - $62,400 Annual / $26.92 - $30.00 per /hr.
