The Department of OBGYN has an exciting opportunity for a full-timeClinical Business Operations Representative to work in Miami, FL. The Clinical Business Operations Representative works in conjunction with the Clinical Business Operations Coordinator to facilitate the prompt resolution of problems related to pre and post care that arise in daily clinical operations. The incumbent in this position performs general administrative and receptionist functions, to include answering incoming calls, necessary for the complete and efficient management of patients, including the acquisition of necessary patient-care and records. This role will also assist patients in a courteous, efficient and professional manner and ensure adherence to divisional and departmental service standards.

Assists the department in managing expectations surrounding pre and post patient care.

Obtains or reviews all patient demographic information, insurance information and referral numbers.

Reviews clinical records for completeness including authorization, signatures, missing data and other patient information.

Answers multiple telephones for the department: triage incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.

Greets visitors and callers, handles their inquiries, and directs them to the appropriate persons according to their needs.

Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.

Provides coverage for responsibilities of co-workers when assigned or as need arises.

Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.

Maintains confidentiality of all information.

Adheres to University and unit-level policies and procedures and safeguards University assets.

High school diploma or equivalent required

Minimum 2 years of relevant experience

Skill in data entry with minimal errors.

Ability to communicate effectively in both oral and written form.

Ability to work evenings, nights, and weekends as necessary.

Skill in collecting, organizing and analyzing data.

Ability to work independently and/or in a collaborative environment.

DEPARTMENT SPECIFIC FUNCTIONS

Register and Schedule patient appointments

Schedule in hospital procedures for Maternal Fetal Medicine service providers including physicians, soon fetal surgeon, and fellows (inductions, cerclage, infusion, etc)

Complete FMLA paperwork

Review clinics and retrieve pertinent documentation for the appts, re-scheduling of appts if required paperwork not received for visit

Post-visit follow up to ensure all appropriate consults and imaging have been scheduled in a timely manner – critical in high risk OB (ultrasounds, consults, NST, in hospital procedures, labs etc)

Manage the templates and scheduling of assigned MFM providers and fellows (6 outpatient clinics)

Cross cover other team members when on vacation, out sick etc.

Liaison to/from clinic locations and hospital regarding patient care, escalation, and any other troubleshooting.

Assisting with global OB authorizations when needed

Scan documents into Electronic medical records system

Review and complete in basket messages daily

Provide report of daily ultrasound schedules for each clinical site.

Prep ultrasound schedule/chart 2-3 prior to appointment date.

Provide coverage to all clinical sites when needed.
