The University of Miami Health System (UHealth), Department of Pediatrics-has an exciting opportunity for a Full-Time Project Coordinator to work in Miami. The Project Coordinator organizes project activities to ensure projects are on schedule. This role provides administrative and logistical support including meeting arrangement, progress tracking, and documentation. In addition, the Project Coordinator will assist with a variety of tasks including administrative duties, logistical support, social media management, and communication efforts. This role is critical in ensuring the smooth operation of grant activities and the successful execution of the annual RAPID Mentoring and Career Development Conference.Core Responsibilities:
Assists with the assignment of tasks to internal teams to include schedule management.
Assists with budget preparation and tracks all project related expenditures.
Monitors project progress and addresses any issues that arise.
Assists with the identification of completion shortfalls.
Acts as the point of contact and communicates the project status to relevant stakeholders.
Communicates timeline changes and new information to project team.
Creates and maintains comprehensive project documentation, plans and reports.
Ensures all needed documentation is current and properly filed and stored.
Ensures adherence to standards and requirements by reviewing project objectives against deliverables
Organizes, attends and participates in project meetings.
Prepares necessary presentation materials for project meetings.
Records minutes and takes detailed notes during meetings.
Adheres to University and unit-level policy and procedures and safeguards University assets.
Department Specific Functions:
Assist in preparing and organizing leadership meetings.
Handle general administrative tasks as needed to support RAPID activities.
Assist in organizing the annual RAPID Mentoring and Career Development Conference, including organizing attendee room and board, meals, and conference rooms.
Coordinate with keynote speakers and manage their schedules and travel arrangements.
Ensure timely communication and follow-up with Scholars and conference attendees.
Assist in collecting and analyzing baseline and follow-up survey data from Scholars.
Support the collection of post-conference attendee data and help in preparing detailed reports.
Reach out to current and past scholars to create a listserv.
Facilitate communication among all RAPID members through the listserv.
Maintain regular communication with scholars and leadership to ensure smooth operation of grant activities.
Lead the establishment and management of the RAPID social media account.
Create and schedule posts to engage the RAPID community and promote grant activities.
Assist in preparing various reports, including membership data, Research Performance Progress Reports (RPPR), and other required grant reports.
Contribute to the planning and writing of publications based on collected qualitative data.
Report to the Project Manager and meet weekly to review ongoing tasks and address any issues.
Attend leadership meetings, take meeting minutes, and follow-up with deliverables.

CORE QUALIFICATIONS:
High school diploma or equivalent
Bachelor’s degree in a relevant field preferred (e.g., Public Health, Social Sciences, Administration)
Project Management Certification (PMP) preferred.
Minimum 1 year of relevant experience preferably with administrative tasks and data management.
Ability to communicate effectively in both oral and written form.
Ability to maintain effective interpersonal relationships.
Ability to work independently and/or in a collaborative environment.
Ability to accurately prepare and maintain records, files, reports and correspondence.
Ability to understand and follow instructions.
Skill in completing assignments accurately and with attention to detail.
Ability to manage a budget and work within the constraints of that budget.
Ability to process and handle confidential information with discretion.
Proficiency in computer software (i.e. Microsoft Office).
Any relevant education, certifications and/or work experience may be considered.
