Administrative Real Estate Assistant

Commercial Real Estate & Property Management Company in Naples

Established for 31 years in Naples, Florida

Our real estate company is currently looking for an experienced Administrative Real Estate Assistant to join our team. This position will require a current Florida real estate license , reliable transportation, be organized and task oriented with a positive attitude. Prepare WORD/PDF documents, letters, notices and any other correspondence requested by Team Management.

Able to follow instructions, answer telephone, set appointments and communicate with Clients, vendors, tenants and customers on the telephone, via email and U.S. Mail, as needed or requested by Team Management.

Not a Hybrid Position, you must work onsite in the Naples office.

Responsibilities and duties:

Use Office Phone and Email Correspondence with Clients, Tenants and Vendors

Maintain Calendar/Appointment for Management Team

Create Monthly Reports for Management Team and Email/Mail to Clients

Maintain/Update Client, Tenant and Vendor contact information lists

Maintain multiple filing cabinets for property management paper information

Maintain, prepare and complete lease files for Tenant information.

Prepare and address envelopes for postage machine for daily mail

Make copies and scan documents

Download invoices from company website

Qualifications and skills:

Florida Real Estate License

Florida Notary

Excellent written and verbal communication skills

Computer office skills require use of Office 365: Word, Excel, Outlook, Adobe

Able to complete administrative tasks with minimal supervision

Flexibility with multi-tasking

Be a team player

No weekends or Holidays: PAID “WEEKDAY” Holidays

Work Hours 9am-5pm Monday thru Friday

One week Paid vacation after one year

Experience: Minimum 5 years past experience as Professional Office Assistant or Administrative Assistant. References from past two employers

Background Check, Drug Test, Limited personal cellphone use during work hours, No internet personal use during work hours.
