Air Conditioning company has an opening for a office assistant. Duties will primarily support Project Manager and in estimating/take-offs in taking projects from bid to completion with a positive attitude and exceptional communication. Should have the ability to multi-task and prioritize while staying extremely organized managing bids and preparing to submit in a timely matter and other tasks. The position is full-time, typical hours 7AM - 3:30pm Monday-Friday.
Main responsibilities:
-Assist in answering phone system and greeting customers
-Maintain bid list
-Orderly filing system
-Maintain Bid schedule calendar, including RFI deadlines and Due dates
-Manage contacts for all vendors & supplies for equipment and materials needed.
-perform takeoffs on software and detailed estimate for review.
-May require jobsite visits for Walk-thru and/or pre-bid meetings.
-Assist foreman and PM on any tasks needed.
-Any additional tasks as needed
Required experience:
-Computer proficiency, specifically Microsoft Word, Excel and Outlook and Adobe Acrobat
-Excellent written and oral communication skills
-Excellent organization skills
-Attendance/Punctuality - Is consistently at work and on time;
-Ensures work responsibilities are covered when absent; Arrives at meetings and appointments on time.
Qualifications:
High School Diploma
Bilingual (English/Spanish)
clean driving record. must be able to drive company issued vehicle to perform job duties as needed.
