Administrative Assistant – Forensic Neuropsychology Practice

Location: Downtown Fort Lauderdale | In-Office Only

A Forensic Neuropsychologist, is seeking a highly organized, tech-savvy, and detail-oriented Administrative Assistant to support her fast-paced forensic neuropsychology practice. This role requires exceptional problem-solving skills, persistence, and the ability to juggle legal, administrative, technical, and clinical responsibilities.

You’ll gain exposure to clinical assessments, neuro/psychological testing, and legal case management—a strong foundation for careers in forensic psychology, neuropsychology, clinical psychology, or law.

Key Responsibilities:

Direct Clinical & Forensic Experience:

 Work directly with forensic clients, assisting in psychological assessments and clinical data collection.

 Administer and score psychological tests under supervision, contributing to forensic evaluations.

 Review and summarize mental health, medical, and legal records, gaining real-world case exposure.

 Observe and assist with forensic evaluations and criminal justice-related psychological assessments.

Legal & Administrative Support:

 Manage case files, referrals, and legal records (including subpoenas, discovery materials, and medical/psychological reports).

 Handle complex scheduling (evaluations, depositions, hearings, court deadlines).

 Draft and proofread legal and forensic reports with close attention to detail. When assisting with academic tasks, must adhere to APA format.

 Communicate professionally with attorneys, courts, and clients, even in difficult situations.

 Ensure compliance with confidentiality regulations and document security protocols.

 Exemplary attention to detail: Ensure all data is correct, as even minor errors (e.g., transposing numbers) can have significant consequences for clients and the practice.

Psychology & Healthcare Administration:

 Assist with neuropsychological test scoring, data entry, and records review.

 Manage billing, invoicing, and insurance claims (including verification and disputes).

 Coordinate medical and legal documentation to ensure seamless case processing.

 Navigate challenging phone calls—including tracking down medical records, dealing with jails, handling uncooperative staff, and persisting even when hung up on.

 Maintain a structured and efficient office environment, anticipating needs and proactively solving workflow challenges.

Technical & Systems Support:

 Automate office processes and enhance efficiency using EHRs, Google Workspace, form software, and other administrative tools.

 Optimize workflows for document management, scheduling, and communication systems.

 Troubleshoot and improve EHR functionality, Google Workspace automation, and form-building platforms.

 Support website maintenance, content updates, and potential digital advertising/marketing projects (though this is not a social media role).

 Adapt and learn new software and technology as needed to streamline office operations.

Personal Assistant Tasks:

 Errands and Office Maintenance: Manage small office-related errands such as post office runs, handling returns, and ensuring the office is stocked and organized.

 Travel & Scheduling Assistance: Coordinate flights, hotels, and conference registrations as needed.

 Housekeeping & Organization: Ensure the office remains clean and organized, including watering plants or managing occasional personal tasks when Dr. Graham is traveling.

 Ad-hoc Assistance: Assist with miscellaneous personal and business-related tasks as they arise.

Ideal Candidate:

 Uncompromising Attention to Detail: Small mistakes can have serious legal and clinical consequences—you must be precise.

 Exceptional Persistence & Resilience: You will be handling frustrating phone calls, pushback from jails and hospitals, and repeated follow-ups—this requires thick skin and problem-solving skills.

 Seeking Hands-On Experience in Psychology or Law: Ideal for those considering careers in forensic psychology, neuropsychology, clinical psychology, law, or mental health.

 Legal or Paralegal Experience Preferred: Background in a law firm, forensic setting, or handling legal documents a plus.

 Healthcare or Mental Health Office Experience: Familiarity with medical records, patient/client management, and insurance processes a plus.

 Highly Organized & Detail-Oriented: Must track multiple cases, anticipate needs, and work proactively.

 Tech-Savvy & Problem-Solver: Experience with EHRs, automation, website updates, Google Suite, and data management preferred.

 Professional & Composed Communicator: Must handle complex client interactions while maintaining professionalism.

 Self-Starter with a ‘Can-Do’ Attitude: If a system needs fixing, you figure out a solution rather than waiting for instructions.

Position Details:

 Full-time: 32–40 hours/week, Monday–Friday.

 In-office only. No remote work.

 Starting Pay: $18–$23/hour, based on experience.

 Benefits: $500 annual training stipend, monthly wellness credit. There is no medical/dental coverage.

 Must have reliable transportation.
