Job Description:

We are currently seeking a highly organized and detail-oriented In-Office Secretary to join our team. The ideal candidate will excel in a fast-paced environment, possess strong communication skills, and have a solid understanding of QuickBooks to assist with basic accounting tasks.

Responsibilities:

Answering and managing incoming calls in a professional and courteous manner

Greeting clients and visitors and providing them with assistance as needed

Managing office communications, including emails, faxes, and mail correspondence

Assisting with scheduling appointments, dispatching service calls, and coordinating technician schedules

Maintaining organized filing systems and managing office documentation

Performing basic administrative tasks such as data entry, photocopying, and scanning

Assisting with bookkeeping tasks using QuickBooks, including invoicing, bill payments, and expense tracking

Ordering and maintaining office supplies and equipment

Providing administrative support to the management team and other departments as needed

Requirements:

High school diploma or equivalent; additional education or training in office administration is a plus

Proven experience as a secretary, administrative assistant, or similar role

Excellent verbal and written communication skills

Proficiency in Microsoft Office suite (Word, Excel, Outlook)

Strong organizational skills with the ability to prioritize tasks and manage time effectively

Experience with QuickBooks or similar accounting software

Ability to work efficiently in a fast-paced environment and adapt to changing priorities

Professional demeanor and strong customer service orientation

Attention to detail and accuracy in all work tasks
