Position Summary:
We are looking for a detail-oriented, bilingual Office Assistant to support daily operations and serve as a calm, friendly presence for our walk-in clients. This position is ideal for someone with a background in administrative work, immigration or legal services, or medical/dental reception—but we’re also open to solution focused fast learners with heart.
Key Responsibilities:
Greet clients and assist with document intake and scheduling
Prepare and organize paperwork for translation, apostille, and notarization
Maintain accurate client logs and files, both digital and physical
Provide respectful customer support in person, via phone, and by email
Use Microsoft Outlook, Teams, and (basic) document software for daily workflow
Support immigration evaluations (e.g., intake forms, communication with clinician)
Manage small tasks related to mail, copies, payments, and scanning
Translate short documents or statements (if bilingual in Spanish/English or another language)
Preferred Skills & Experience:
Fluent in English and Spanish is a MUST.
Experience as an administrative assistant, medical/dental receptionist, or legal support staff,
Comfortable with Microsoft 365 and basic digital tools (Google Drive, Outlook, etc.)
Excellent customer service and organizational skills.
Ability to multitask in a fast-paced environment.
Compassionate, dependable, and discreet with sensitive client matters.

Hours & Pay:
Business hours
Monday–Friday with some rotating Saturdays.
Starting Pay: $16–$20/hour based on experience
