Description We are in search of a meticulous Sr. Administrative Assistant to be part of our service industry team, based in Dania Beach, Florida. This role offers a contract to hire employment opportunity. The successful candidate will be working closely with the President and Finance Director, handling a variety of administrative tasks, including managing calendars, arranging travel, and organizing events.Responsibilities: Manage and maintain the President's calendar, ensuring no important events or meetings are missed. Coordinate travel arrangements, including flights and accommodation, in a timely and efficient manner. Prepare and process expense reports using Certify and other software. Keep track of AMO Union events, including sponsorships and attendance. Send out customer cards and holiday cards as necessary. Plan and coordinate holiday parties and other corporate events. Handle confidential information with discretion and integrity. Liaise with Maintenance departments and other teams, demonstrating strong bilingual communication skills. Utilize Microsoft Office Suites, including Outlook Calendar, Excel, and Word to perform tasks efficiently. Perform other administrative duties as assigned. Requirements Must possess proficiency in Microsoft Office Suites including Microsoft Word, Microsoft Excel, and Microsoft Outlook Demonstrated experience in calendar management and scheduling Ability to manage corporate events and network events Experience in Concur and About Time software is required Comfortable with managing tasks such as booking and coordinating travel arrangements Familiarity with handling and preparing expense reports Strong ability in documentation and correspondence Experience in working with C-Suite executives is essential Should possess excellent organizational skills for managing and maintaining office calendars Capable of processing and submitting expense reports Must have experience in coordinating events Ability to complete expense reports in a timely manner Strong communication and interpersonal skills Proven track record in a similar senior administrative role is desirable High level of discretion and confidentiality Ability to multitask and prioritize in a fast-paced environment Detail-oriented with strong problem-solving skills.
