SPECIFIC DUTIES:

This Staff Assistant position will be located in the Bureau of Maintenance and Repairs, Regional Maintenance office. The incumbent will assist the Assistant Bureau Chief of Maintenance and Repairs in maintaining complete and current performance standards and position descriptions for all staff for which he/she is responsible.

The incumbent in this position duties and responsibilities include, but are not limited to the following:

Operate personal computer equipment to create a variety of documents to include: general correspondence, reports, material specifications, contracts, bid packages, budgets and schedules and pay requests and travel vouchers for regional staff.

Reviews documents and spreadsheets prepared by section staff for correctness, makes necessary changes and prepares finished documents, revises documents such as contracts, bid packages and technical specifications as needed.

Processes requests for purchasing card transactions for the Assistant Bureau Chief of Maintenance and Repairs.

Performs a variety of support tasks such as copying documents, serves as the section’s telephone receptionist, sorts incoming mail and distributes mail and other documents to section’s staff, reviews periodic pay requests submitted by vendors to ensure accuracy of data and prepares transmittals to the Bureau of Finance and Accounting, assists and coordinates with the preparation of legislative budget requests, assists the supervisor with all personnel actions, participates in required departmental staff training and performs other related duties as required.

REQUIRED QUALIFICATIONS:

Two or more years of similar work experience in office support/clerical.
