High level of contact with administrators, faculty, and staff of numerous departments throughout the University. Additionally, the Front Desk Receptionist, Executive Education will have public contact with students and their organizational representatives. Manage front office duties for the Executive Education department, including phone call and mail routing, office supply coordination, and assistance to departmental coordinators and Directors. Coordinate and Execute Events relating to the Executive Continuing Education (non-degree) and Corporate Training, including event planning, catering, logistical coordination, monitoring, and execution of all event-related tasks.Summary of Responsibilities:
Open and close the Office of Executive Education daily.
Coordination of telephone, in-person (reception), and postal communications for the Office of Executive Education.
Run reports in Workday.
Prepare purchase orders, invoices, payments, and travel arrangements for the department.
Coordinate all processes for travel arrangements with spend authorizations and expense reports
Serve as a delegate in Workday.
Plans and purchases supplies and equipment for the department and serves as a point of contact for equipment service requests and office maintenance.
Maintain office supply storage units.
Oversee conference room usage as well as classroom room reservations.
Assist with high-level executive calendars – scheduling internal and external meetings and reviewing daily schedules.
Assist with event and meeting preparations and logistics .
Provide information in a pleasant, patient, and thorough manner.
Maintain an impeccable, attractive environment in the reception area.
Prepare the front desk area and participants and keep the advertisements and educational materials up to date.
Perform special projects as assigned.
Other job-related duties as assigned.
