About the Role
As our Office Manager / Bookkeeper, you will play a vital role in keeping our operations running smoothly. This position requires wearing multiple hats, from financial management and human resources to system implementation and material tracking. The ideal candidate must have experience with Buildertrend and QuickBooks and be capable of running Buildertrend.
Key Responsibilities
· Oversee financial transactions, including accounts payable, accounts receivable, payroll tracking, and bank reconciliations.
· Implement and maintain Buildertrend software, ensuring accurate data entry and business system conversion.
· Manage material ordering, tracking, and invoice processing.
· Apply for and manage permits.
· Handle client invoicing, collections, and vendor documentation (W9s, COIs, proposals, purchase orders, warranties).
· Support human resources functions, including employee communications and issue resolution.
· Assist in scheduling inspections, deliveries, vehicle maintenance, and appointments.
· Work with designers, architects, and vendors to ensure timely and accurate material procurement.
· Maintain filing systems (electronic and paper) and coordinate travel arrangements.
· Perform general office duties, such as ordering supplies, maintaining equipment, and scheduling repairs.
Qualifications & Skills
2+ years of experience using Buildertrend
Strong organizational, analytical, problem-solving, and communication skills. Familiarity with construction accounting concepts and systems.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.). English required (Spanish-speaking ability is a plus). Detail-oriented, self-motivated, and adaptable to new systems and processes.
