A Rockville, Maryland based firm, is seeking experienced, self-motivated candidate to work on-site office in Rockville, Maryland This is not a remote position. We are a Drug Free Workplace. We have a part-time opening and are seeking professional administrative assistant part-time permanent job. Three (3) days a week. JOB DUTIES INCLUDE, BUT ARE NOT LIMITED TO:

Proficiency in English written and reading required.

Answer phones, respond to telephone and email inquires.

Assist Bio-Haz Manager with data entry into system database for scheduling pickups.

Filing, sorting, and maintaining hard copy files.

E-Documentation maintenance (copy, scanning, pdf merging, naming, etc.)

Assist new clients regarding setting up service agreements

Type driver route sheets, service agreements, and miscellaneous memos.

Print out tracking forms using a database system, type driver route sheets based

on daily appointments.

Scheduling appointments for call – in customers

Make confirmation phone calls for next day appointments or use Microsoft outlook to type email confirmations.

Print out schedules for the drivers daily and place in their folders

Assist with billing the tracking forms.

Provide Admin support to other office staff as assigned

24 hours a week position

Requirements:

Proven experience as administrative assistant

Positive, professional demeanor

High School graduate or GED equivalent is required

Excellent communication skills via phone, written and in person

Exceptional customer services skills

Attention to detail & organization

Effectively self-manage time & productivity

QuickBooks experience

Proficiency in Microsoft office (Access, Word, Excel, Outlook)

Knowledge of office equipment (Copier, fax, printer, scanner)

Knowledge of database entry

Knowledge of Adobe Acrobat

Ability to work in a team-oriented, collaborative environment

Understanding of the organization’s goals and objectives
