1. Receive and distribute incoming correspondence
2. Assist the Management, Project Managers, Field, Estimating, and Marketing Staff
3. Maintain/Support Human Resource Department Documents
4. Assist Process weekly Payrolls
5. Assisting accounting department with Accounting System
6. Assist in Processing invoices for payments
7. Assist in Providing accounting reports to PMs on project
8. Assist in Generating and Processing internal Certified payrolls and collect/ submit subcontractor certified payrolls to various clients.
9. Print or Scan previous year documents.
Aside from the specific areas identified herein, there are overriding generic challenges which characterize this position. They include:
1. Scheduling and coordination of field activities including the skills to maintain and track purchase orders, vehicle maintenance logs, equipment inventories, etc.
2. Set up and manage business related accounts such as fleet fuel, cellular phones, office lease, utility bills and other such programs in support of field activities
3. Assist security department to Support employees and sub-contractors in securing and maintaining active security clearances
4. Collect weekly time sheets from field/ office staff and assist in updating project lists.
5. Complete miscellaneous tasks assigned by supervisor/management to support day-to-day operations
Requirements:
1. Minimum 2 years’ experience as an Office Administrative in construction related business
2. Ability to pass a background investigation
3. Hold a valid driver’s license, and have/maintain a satisfactory driving record
4. Competent computer skills in Excel, QuickBooks, Word, Microsoft Projects,
5. Excellent communication skills
6. Excellent organizational skills
