A DC-based association management company is looking for a versatile, detailed-oriented and energetic association professional with meeting planning experience to join our growing team!

The successful candidate will be a sharp, results-oriented individual with proven success in program and meeting management, with excellent oral and written communications skills. This position works closely with our executive team and will be primarily responsible for managing the meetings and events of assigned association-clients.

Core Responsibilities:

· Assist the executive team in all aspects of association management, specifically relating to event management for assigned client-associations;

· Manage and coordinate all aspects of planning in-person board meetings, committee meetings, workshops, seminars as well as annual conferences and expos, including but are not limited to:

o RFP

o Hotel negotiations

o Vendor sourcing and management

o Food & beverage

o A/V

o Meeting rooms setup

o Social events (receptions, golf tournaments, etc.)

o Liaison to speakers, sponsors, exhibitors, supporting organizations, media, and attendees

o Budget management

o Managing meeting registration

o Meeting materials management (lanyards, badges, presentations, etc.)

o Meeting collateral management (programs, brochures, flyers, etc.)

o Managing meeting website, calendar of events, and event app;

o Contribution to designing event brochures, printed and online ads, and other marketing materials;

o Creating, scheduling, and distributing meeting email blasts via MailChimp and Constant Contact

o Post-meeting survey management via SurveyMonkey

o CEUs (continuing education units) management

o Onsite meeting support

· Attendance and hands-on assistance at clients' events as needed.

· Email marketing to grow and promote membership, conferences, etc.

· Coordinate multiple special projects/assignments, as assigned.

· Update clients’ WordPress-based websites and manage mobile apps.

· Assist in printing, shipping, and mailing services;

· Assist other departments, as needed.

REQUIRED/PREFERRED SKILLS/ABILITIES

· Bachelor's degree from a four-year university;

· At least 2 years of meeting planning or related experience;

· 1-3 years of experience working for an association management company (AMC), not-for-profit associations, or a marketing/PR firm.

· Interest/experience in construction industry is preferred.

· Knowledge of:

o iMIS, YourMembership or a similar membership database

o MailChimp, Constant Contact or a similar marketing platform

o WordPress, SurveyMonkey, Vimeo, and YouTube.

· Strong communication skills, both written and verbal, and interpersonal skills.

· Strong customer service orientation and commitment to company’s “Members Come First” motto.

· Plan, organize and prioritize work effectively yet remain flexible in order to adapt to changes in work environment.

· Excellent time-management, prioritizing, problem prevention and problem-solving skills.

· Maintain confidentiality of sensitive information.

· Ability to handle multiple assignments and projects simultaneously and work independently as well as a collaborative environment across internal departments in a fast-paced environment.

· Willingness to work across internal departments is a must. Work as a team toward achieving individual, company’s, and client’ annual business plan and budget goals.

· Ability to travel 2-3 times per year.
